Position Summary: The Program Assistant provides administrative support to the agency's Home-Based Crisis Intervention (HBCI) programs, which provide intensive, short-term, home-based services to children and families experiencing behavioral health challenges or crisis. The Program Assistant provides administrative support across multiple HBCI programs, supporting program directors with maintaining accurate records and documentation, managing program data, and coordinating day-to-day administrative needs. This position works collaboratively with HBCI staff and leadership to support organized and efficient program operations, allowing staff to remain focused on serving children and families. This is a hybrid position, with the ability to work remotely while providing in-person support as needed.
Responsibilities: Maintain accurate and up-to-date logs, records, and case information in the agency's Electronic Health Record (EHR). Enter and update required information in OMH and other state databases, including CAIRS. Access data in PSYCKES Assist with organizing program records, tracking information, and maintaining required documentation for multiple HBCI programs across the state. Provide general administrative and clerical support to HBCI staff and program leadership. Support scheduling, communication, data entry, and other day-to-day administrative needs of the programs. Help ensure information is organized, accurate, and readily available to support staff working with children and families. Maintain confidentiality and handle sensitive information with professionalism and care. Work independently while remaining connected and responsive to staff across multiple HBCI programs in a hybrid work environment. RequirementsEducation: High School Diploma / GEDrequired Associate's or Bachelor's degreepreferred
Experience: 1 year of office or administrative experience, preferably in healthcare or human services settingsstrongly preferred Experience with electronic health record (EHR) and OMH-required databasespreferred Knowledge of OMH, OCFS, and/or mental health terminologypreferred Strong organizational, communication, and record-keeping skillsrequired Able to assume responsibilities without supervision, exercise initiative, maintain strict confidentiality and portray a professional imagerequired Driver's License and ability to maintain insurability throughout employmentrequired
