About the role
- Work closely with attorneys on residential and commercial real estate purchases, sales, refinances, and closings.
- Open, process, and close title files in a timely manner.
- Order and review title commitments, estoppels, lien searches, and other transaction-related documents.
- Prepare and calendar critical dates and deadlines for each transaction.
- Prepare closing documents, seller conveyance documents, and corporate documentation.
- Prepare Settlement Statements, Closing Disclosures, HUD-1s, and other closing-related documents.
- Balance files in preparation for the disbursement of closing funds.
- Obtain funding approval from lenders, fund transactions, comply with closing and escrow instructions, and timely deliver closing packages to lenders.
- Review and coordinate the recording of closing documents.
- Order title policies, coordinate attorney review and signature, and timely deliver final policies to lenders and buyers.
- Manage the distribution and retention of original closing documents, both internally and to outside parties.
- Monitor transactions and promptly escalate issues requiring attorney involvement.
- Keep attorneys apprised of the status of all active files.
- Communicate professionally and promptly with buyers, sellers, lenders, attorneys, real estate agents, brokers, clients, and other parties involved in each transaction.
- Maintain complete, accurate, and well-organized transaction and title files.
- Perform other duties as assigned. Qualifications & Experience
- Minimum of 2 years of experience handling real estate title and closing transactions in a law firm or similar professional environment.
- Experience handling residential and commercial real estate transactions and closings.
- Strong working knowledge of the real estate closing process, from opening a title file through closing and post-closing.
- Commercial real estate transaction and closing experience strongly preferred.
- Experience ordering and reviewing title commitments, estoppels, lien searches, and related title documents.
- Experience preparing closing and conveyance documents, Settlement Statements, Closing Disclosures, and HUD-1s.
- Proficiency in Microsoft Word, Outlook, and Excel.
- Strong technological skills and the ability to learn new software and systems quickly.
- Experience with Qualia, Simplifile, ATIDS, AltaStar, and LEAP, or similar title, closing, and case management programs, preferred.
