Compensation: Competitive, DOEAbout the Role Our confidential client, a leading global investment firm, is seeking a polished and welcoming Receptionist to serve as the first point of contact for the firm. This individual will manage a high-volume switchboard, warmly greet employees and guests, and provide a range of administrative and office support. The ideal candidate is highly organized, detail-oriented, service-minded, and able to manage competing priorities with professionalism, discretion, and sound judgment.
Responsibilities: Screen calls and determine call priority using sound judgment and company protocols Manage a high-volume switchboard, accurately directing calls while maintaining a calm and professional demeanor Greet and assist employees and guests in a warm, professional manner Provide clear and accurate company information, directions, and general assistance Provide clerical support, including data entry, maintaining logs, and distributing mail Follow company security protocols and ensure guests are properly escorted Serve as the primary point of contact for vendors, couriers, delivery services, and other visitors Process and reconcile travel and expense reimbursement requests in accordance with company policies Coordinate domestic and international travel, including flights, hotels, transportation, reservations, itineraries, and meetings Maintain detailed calendars, contacts, and databases for multiple professionals while ensuring accuracy and confidentiality Coordinate logistics for internal and external meetings and conferences, including video conferencing, catering, meeting materials, printing, and presentations Assist with department activities and special events as needed Handle sensitive and confidential information with the highest level of discretion Collaborate with team members and provide support as needed Assist with internal projects and other ad hoc responsibilities as requested
Requirements: Minimum of 2 years of relevant receptionist or administrative experience Proficiency in Microsoft Office Suite Knowledge of Concur and Salesforce preferred Excellent written and verbal communication skills Strong confidentiality, discretion, and professional judgment Exceptional interpersonal and customer service skills Highly organized and detail-oriented with the ability to manage multiple priorities Reliable, punctual, and professional Ability to occasionally assist outside of standard business hours with urgent needs, including last-minute travel changes Please submit your resume for consideration!
