Firm Overview Wein Law Firm is a boutique commercial litigation and judgment-enforcement firm in Cedarhurst, NY. We run a high-volume operation with strong systems and heavy automation, so the office can move fast without chaos.
Position Summary:
We are seeking a full-time, on-site Executive Assistant and Operations Manager to serve as the attorney’s operational right hand. The role combines hands-on executive support, financial administration, recruiting, office management, vendor coordination, and internal process improvement. The right candidate will take ownership of daily operations and, over time, help build the systems and structure needed to scale the firm.
Core Responsibilities:
- Manage scheduling, confirmations, reminders, and daily logistics
- Support billing/admin workflows (invoicing support, payment follow-ups, vendor bills, basic reporting)
- Handle banking and office errands (deposits, check runs, pickups/drop-offs)
- Run mailing/shipping workflows (certified mail coordination, postage, tracking, supplies)
- Manage office operations (vendors, repairs, ordering, inventory, facilities)
- Maintain trackers, checklists, and follow-ups so nothing slips
- Coordinate internal meetings (Zoom links, agendas, action items)
- Handle general “whatever needs to get done” execution in a busy law office
Qualifications:
- 3+ years in an executive assistant, office manager, legal operations, or similar role
- Law-firm or professional-services experience strongly preferred
- Highly organized, detail-oriented, discreet, proactive, and reliable
- Strong judgment and ability to handle routine issues independently
- Comfortable with Outlook, Word, Excel, PDFs, scanning, and office technology
- Experience with billing, bookkeeping, payroll, recruiting, or process improvement is a plus
