Role Description:
The Administrative Assistant role is a full-time, on-site position based in Manhattan, NY. This role supports daily office operations, including managing phone calls, routing inquiries, and welcoming visitors. Responsibilities include preparing and organizing documents, maintaining filing systems, scheduling appointments and meetings, and assisting with data entry and record-keeping. The Administrative Assistant will coordinate with property management and executive staff, track deadlines, and ensure information is communicated accurately across the team. This role also involves handling basic clerical tasks, monitoring office supplies, and contributing to a professional, well-organized office environment. Typical duties will include: Answering, screening, and directing telephone calls and emails. Greeting visitors. Preparing and proofreading correspondence, memoranda, reports, and other documents. Managing calendars, appointments, meetings, and conference-room schedules. Organizing meeting materials and taking notes or minutes when requested. Maintaining accurate electronic and paper filing systems. Receiving, sorting, distributing, and sending mail and deliveries. Entering and updating information in company databases, spreadsheets, and management systems. Scanning, copying, filing, and organizing leases, contracts, invoices, and other records. Assisting with purchase orders. Maintaining office supplies. Tracking deadlines, pending assignments, certificates, permits, and requested documents. Following up on outstanding information and providing status updates to management. Coordinating service appointments, office deliveries, and vendor access. Assisting with the preparation of Board, management, and staff meeting materials. Handling confidential corporate, tenant, and financial information appropriately. Providing coverage for other administrative employees during absences. Maintaining a professional and organized work area. Performing other administrative tasks and special projects assigned by management.
Qualifications:
Candidates should possess strong Administrative Assistance and Clerical Skills for managing documents, scheduling, and general office support. Candidates should possess excellent Phone Etiquette and Communication skills to handle calls, greet visitors, and interact with tenants and colleagues professionally. Candidates should possess Executive Administrative Assistant capabilities for supporting leadership with calendars, correspondence, and follow-up on key tasks. Additional beneficial skills include proficiency in common office software (e.g., Microsoft Office or similar), attention to detail, time management, and the ability to handle confidential information responsibly. High school diploma or equivalent required; prior administrative experience in real estate or property management is preferred but not mandatory. Starting salary: $68,000.00, pls health benefits, 401K
