About the role
Assistant Project ManagerThe Assistant Project Manager supports the planning, administration, coordination, financial control, and closeout of assigned federal construction and facility-improvement projects. Working closely with the Project Manager, Superintendent, subcontractors, design professionals, government representatives, and internal support teams, the Assistant Project Manager helps ensure that projects are completed safely, on schedule, within budget, and in accordance with contract requirements.This position is intended for a developing project-management professional who can independently manage assigned project controls and documentation while progressively assuming responsibility for small projects or defined portions of larger projects.Duties & Responsibilities:Project administration and document controlEstablish and maintain complete project files in accordance with company and contract requirements.Prepare, process, distribute, and track RFIs, submittals, transmittals, meeting minutes, change documentation, correspondence, and action-item logs.Maintain current drawings, specifications, amendments, bulletins, approved submittals, and as-built information.Develop and maintain submittal, RFI, procurement, change-order, deliverable, and closeout logs.Review project documentation for accuracy, completeness, proper authorization, and potential cost or schedule impacts.Scheduling and procurementAssist with developing, updating, and communicating project schedules and short-term work plans.Track subcontractor activities, material approvals, fabrication status, equipment deliveries, long-lead items, inspections, and contractual milestones.Coordinate procurement activities with subcontractors, suppliers, field personnel, and the Project Manager.Identify potential delays and promptly escalate schedule risks with recommended corrective actions.Help coordinate site logistics, project phasing, outages, shutdowns, and work in occupied federal or healthcare facilities.Cost and contract administrationAssist with project setup, budgets, commitments, cost coding, forecasting, and cost-to-complete information.Review subcontractor invoices and payment applications for completeness and consistency with work performed.Support owner invoicing, schedules of value, monthly requisitions, and required supporting documentation.Solicit and evaluate subcontractor pricing for changes and assist in preparing change-order requests.Maintain accurate records of pending changes, approved modifications, potential claims, and project financial status.Federal-client and stakeholder coordinationCommunicate professionally with government representatives, Contracting Officers, CORs, facility personnel, design professionals, subcontractors, vendors, and internal team members.Assist with preconstruction meetings, progress meetings, quality-control meetings, safety meetings, kickoff conferences, and closeout meetings.Prepare agendas, meeting minutes, status reports, briefing materials, and follow-up correspondence.Track government reviews, approvals, contractual deliverables, and action items.Support the Project Manager in monitoring compliance with the contract, statement of work, specifications, wage requirements, security procedures, and site-specific policies.Field support, quality, and safetyConduct regular project-site visits and coordinate closely with Superintendents and field personnel.Assist in reviewing drawings, specifications, existing conditions, and subcontractor scopes to identify conflicts or missing information.Support Venergy's safety program and immediately report unsafe conditions or noncompliant work.Participate in quality-control inspections, preparatory and initial-phase meetings, punch-list inspections, commissioning activities, and customer walk-throughs.Help verify that installed work conforms to approved plans, specifications, submittals, codes, and contract requirements.Project closeoutDevelop and maintain the project closeout checklist from the beginning of the project.Collect and organize warranties, O&M manuals, training records, testing reports, inspection records, as-built documents, attic stock information, and other turnover materials.Coordinate punch-list completion and track outstanding corrections.Support final invoicing, subcontractor closeout, release documentation, and government acceptance.Document lessons learned and recommend process improvements for future projects.Minimum QualificationsTwo or more years of experience in construction project coordination, project engineering, assistant project management, facility construction, or a related role.Associate or bachelor's degree in Construction Management, Engineering, Architecture, Business, Project Management, or a related discipline; equivalent relevant experience may be considered.Working knowledge of construction drawings, specifications, RFIs, submittals, change orders, schedules, and closeout documentation.Strong proficiency with Microsoft Excel, Word, Outlook, PowerPoint, and Teams.Excellent written communication, organization, prioritization, and follow-through.Ability to manage multiple projects, deadlines, and stakeholders in a fast-paced environment.Valid driver's license and ability to travel throughout the Mid-Atlantic region.Ability to access federal facilities and satisfy applicable background-screening or security requirements.Ability to work in office and construction-site environments and use required personal protective equipment.Preferred QualificationsExperience supporting Department of Veterans Affairs, GSA, Department of Defense, or other federal-agency projects.Experience with HVAC, mechanical, plumbing, building automation, electrical, energy-efficiency, or healthcare-facility construction.Experience with Procore, Bluebeam, Microsoft Project, Primavera P6, Autodesk Construction Cloud, or comparable platforms.OSHA 30-Hour Construction certification.USACE/NAVFAC Construction Quality Management for Contractors certification.CAPM, PMP-track experience, or other project-management education.Familiarity with federal contracting requirements, Davis-Bacon wage compliance, certified payroll, bonding, subcontract administration, and government modifications.Experience working in occupied healthcare or mission-critical facilities.Prior military service or experience working in veteran-led organizations is welcomed but not required.Key CompetenciesAccountability and ownershipAttention to detailProfessional written and verbal communicationPlanning and prioritizationFinancial awarenessTechnical curiosityRisk identification and escalationCollaborative problem-solvingCustomer serviceIntegrity and respect for government contracting requirementsPhysical Requirements:Prolonged periods sitting at a desk and working on a computer.Constant movement and use of limbs, requiring good manual dexterity, coordination, and stamina.Must be able to occasionally walk, kneel and crouch.Ability to lift up to 50 pounds of force occasionally, and up to 20 pounds of force frequently.Requires good visual acuity and hearing.Ability to travel.Work Environment:Regularly works around moving mechanical parts and in outside conditions that include inclement weather, heat and humidity.Reasonable accommodations may be made to enable individuals with disabilities, who are otherwise qualified, to perform the primary functions.This position requires regular work to be performed on-site at the designated office or other approved work location.Work schedules are established based on business needs.
