Mondrian Alpha is a global executive search firm, with offices in London, Dubai and New York. The New York office, based in Manhattan, opened 3yrs ago and has roughly 25 staff, with an expectation to grow to 50+ staff in the next 2-3yrs.
About the Role: We're looking for an Office Assistant to keep our New York office running smoothly. This role sits at the centre of daily operations - you'll be the first face people see, the person vendors call, and the one who makes sure the office runs smootly. You'll report to the Head of Operations based in London.
What you'll do: Serve as the primary point of contact for New York staff, visiting clients, and external vendors and suppliers Manage day-to-day office operations and facilities - think maintenance requests, supply orders, and making sure things don't fall through the cracks - Coordinate with building management and external service providers Handle incoming calls, mail, and deliveries Support onboarding logistics for new hires (desk setup, access cards, office tours) - Schedule and set up meeting rooms, including AV and catering when needed Assist the Head of Operations & Partners with administrative tasks and ad hoc projects.
About you: A degree with a 3.2 minimum GPAPrior experience, roughly 1-3yrs, in an office assistant / administration, receptionist, or facilities coordination role. Strong organizational skills - you stay on top of multiple tasks without being reminded Clear, professional communicator, comfortable with staff at all levels and with external contacts Reliable and proactive: you notice what needs doing and do it Comfortable working independently, given the London-based reporting line Proficiency with Microsoft Office (Outlook, Word, Excel)
