In this vital role, you will support daily office functions, streamline administrative processes, and ensure smooth communication across departments. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant workplace.DutiesOperate multi-line phone systems, handle incoming calls, and relay messages promptly and accuratelyMaintain organized filing systems, including document scanning, data entry, and record keeping of confidential informationSupport office management activities such as supply ordering, calendar coordination, and appointment schedulingProvide excellent customer service by addressing client inquiries and supporting client communication effortsPerform clerical duties such as proofreading documents, preparing reports, and managing correspondence to ensure accuracy and clarity· Prepare (print and compile) select field material.SDS support – data entry, print and assemble binders.Prepare shipments for couriers.Maintenance of office equipment (including but not limited to communicating with vendors for troubleshooting, parts & services, supply inventory).Assist with lite marketing, and research OSHA citations maintaining an on-going record of communications.Maintain a clean and organized office environment and entryways.Performs other related duties as assigned by company Director, Business Manager.Assist with task management in Asana platform.Review client documentation for task identification.Assist with uploading and document processing in Zoho client database.Updating document templates for new clients.RequirementsProven office experience with strong organizational skills and attention to detailProficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy in generalExperience with Asana or similar project management software is highly desirableExcellent phone communication skills with professional phone etiquette and the ability to handle multiple lines efficientlyDemonstrated ability to handle confidential information responsibly with integrityStrong typing skills for data entry and document preparation along with proofreading capabilitiesAbility to manage time effectively in a fast-paced environment while maintaining accuracyDiscernment for task priorities in an environment where multiple projects are going onPrior experience in administrative support or personal assistant roles is requiredJoin us as an Operations Assistant and become a key contributor to our efficient office environment!
