About the role

Executive Assistant Position A well-established, highly respected Dallas litigation law firm is seeking a highly organized, professional, and dependable Executive Assistant to provide comprehensive administrative support to the CEO. This individual will play a key role in managing the CEO's schedule, coordinating meetings and events, handling confidential information, and serving as a primary point of contact for internal and external communications. The ideal candidate is proactive, detail-oriented, discreet, and able to manage multiple priorities in a fast-paced environment. This position requires excellent communication skills, sound judgment, and the ability to anticipate needs and solve problems independently.
Key Responsibilities: Manage the CEO's calendar, including meetings, appointments, events, and other scheduling needs. Coordinate and prioritize incoming emails, phone calls, mail, and other correspondence. Plan, coordinate, attend, and assist with company meetings, events, and other functions as needed. Assist with the planning, execution, and tracking of various projects and initiatives. Maintain, organize, and protect confidential company and executive information. Provide general administrative support, including document preparation, typing, dictation, filing, and record management. Serve as a liaison between the CEO and managers, business partners, employees, vendors, and other external contacts. Act as a gatekeeper by screening calls, emails, visitors, and meeting requests to effectively manage the CEO's time and priorities. Prepare correspondence, reports, presentations, and other documents as needed. Anticipate executive needs and proactively address scheduling conflicts, administrative issues, and other priorities.
Qualifications: Minimum of 3 years of experience in office management, executive support, or a related administrative position. Associate's degree required. Minimum of 3 years of experience using Microsoft Outlook, Word, and Excel. Strong proficiency with Microsoft Office Suite and other standard business software. Valid driver's license required.

Strong time-management skills and the ability to meet deadlines. High level of discretion and professionalism when handling confidential or sensitive information. Ability to work independently while collaborating effectively with employees, leadership, vendors, and business partners. Professional demeanor and strong interpersonal skills. The successful candidate will be resourceful, polished, adaptable, and comfortable working closely with senior leadership.
