Job Title: Front Desk Receptionist/Event Planner
Location: Tampa, FL, Onsite only. Remote is not available.
Schedule: Monday–Friday, 7:00am–4:00pm or 7:30am–4:30pm.
Duration: Contract - 6 months (potential extension)
Job Description: We are seeking an Event Planner to join our dynamic team. The ideal candidate will have strong experience in event planning, front desk and conference center operations, vendor management, and logistics coordination, and a proven ability to deliver seamless on-site experiences, manage complex multi-stakeholder events, and maintain high customer service standards.
Responsibilities: Plan and execute events ranging from 10 to 500 attendees with varying complexity. Develop, manage, and reconcile project plans and budgets. Lead cross-functional event teams and manage multiple workstreams simultaneously. Collaborate with senior and middle management and engage customers professionally. Provide strategic input and recommendations on event design and development. Partner with internal teams including Food Services, Conference Services, Audio Visual, Security, and Facilities. Own end-to-end event logistics: consulting, concept proposals, RFP-based site selection, vendor negotiation, and contract administration with focus on attrition and cancellation risk. Oversee hotel blocks, air and ground travel, menus, room setups, décor, audiovisual, printing, registration, speakers, entertainment, activities, giveaways, and travel staff. Create copy for invitations and provide input on graphic design and event websites. Support daily conference center operations including front desk coverage, guest greetings, phone and email response, and catering spot checks. Coordinate room setups with Facilities and join daily operations calls to review next-day logistics. Work closely with the lead planner on all conference center events.
Required Skills & Qualifications: 3-6 years of professional event planning or conference services experience. Front desk or guest services experience in a corporate or hospitality setting. Proficiency in vendor sourcing, RFPs, contract negotiation, and budget reconciliation. Strong customer service orientation with professional written and verbal communication skills. Organized, detail-focused, and able to manage concurrent priorities under deadlines. Ability to work onsite Monday through Friday, 7:00am–4:00pm or 7:30am–4:30pm.
Preferred Skills: Experience in corporate conference center operations and audiovisual coordination. Experience with event registration platforms and basic website or graphic inputs.
