Overview:
The HR Assistant is responsible for coordinating and administering pre-employment and onboarding activities to ensure a seamless hiring experience for candidates joining the organization. This role partners closely with recruiters, hiring leaders, Human Resources, and new hires to facilitate all pre-employment requirements, maintain compliance, and ensure employees are prepared for a successful first day. The HR Assistant plays a key role in delivering an exceptional candidate experience while supporting the organization's hiring and onboarding objectives.
Key Responsibilities:
Pre-Employment Coordination: Coordinate and oversee all pre-employment requirements, ensuring timely completion of background checks, screenings, verifications, and onboarding documentation while maintaining compliance, resolving issues, and communicating proactively with candidates, recruiters, hiring leaders, and vendors.
Onboarding: Coordinate and facilitate the end-to-end onboarding process by preparing new hire documentation, scheduling orientation and required onboarding activities, serving as the primary point of contact for new employees, and ensuring a seamless, welcoming experience that reflects the organization's mission and values.
Candidate Experience: Deliver an exceptional candidate experience by providing timely communication, proactive updates, and professional support throughout the pre-employment and onboarding process while serving as a trusted resource for candidate questions and expectations.
Compliance & Documentation: Ensure all pre-employment and onboarding activities comply with employment laws, healthcare regulations, accreditation standards, and organizational policies while maintaining accurate HR records and safeguarding confidential employee information in accordance with HIPAA and privacy requirements.
Collaboration: Partner with Talent Acquisition, Human Resources, Occupational Health, Information Technology, Payroll, Security, and hiring leaders to coordinate a seamless onboarding process, communicate onboarding progress, address issues that may impact start dates or compliance, and support continuous improvement of onboarding processes and the candidate experience.
Administrative Support: Maintain onboarding documentation and tracking reports, monitor key onboarding metrics to ensure start-date readiness, and provide administrative support for Human Resources projects and initiatives as assigned.
Qualifications:
A year of experience in HR and onboarding.
Healthcare experience is preferred.
Knowledge in pre-employment requirements, including licensure verification, occupational health, and compliance standards.

Experience with HRIS systems.
Work Environment:
This role typically operates in a hybrid environment depending on organizational needs. Occasional travel may be required for industry events, networking, or candidate/client engagement.
