About the role
- Calendar & Schedule Management: Manage the daily calendar, meetings, appointments, and travel arrangements for the Chief of Police and command staff.
- Correspondence & Reporting: Compose, prepare, type, review, and edit complex, sensitive, and confidential correspondence, reports, memoranda, press releases, and other documents on behalf of executive leadership.
- Meeting Coordination: Coordinate executive staff meetings; prepare agendas and supporting materials; record and distribute meeting minutes; and track follow-up items and deadlines.
- Gatekeeping & Liaison: Serve as the primary point of contact for the Chief's Office. Screen telephone calls and correspondence, greet visitors, and appropriately direct inquiries while exercising sound judgment and professional discretion.
- Budget & Purchasing: Assist with the preparation and monitoring of the Police Department's annual operating and capital budgets. Process and track purchase orders, invoices, and related financial documentation.
- Personnel & Confidential Records: Ensure required communications, certifications, and confidential information are appropriately forwarded to Human Resources for inclusion in employee personnel and medical files.
- Special Projects & Research: Conduct administrative research, compile and analyze statistical information, prepare reports, and coordinate special projects as assigned by the Chief of Police.
- Qualifications & Preferred Skills: Experience working in a New Jersey municipal police department and/or a four-year college degree or equivalent combination of education and experience is preferred. Additional preferred qualifications include:
- Knowledge of New Jersey Open Public Records Act (OPRA) procedures.
- Experience with social media platforms and municipal website management.
- Advanced proficiency in Microsoft Office, including Word, Excel, Access, PowerPoint, and Outlook. Edmunds or other budget management software.
- Excellent written and verbal communication skills.
- Strong organizational and problem-solving skills, with exceptional attention to detail.
- Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.
- Ability to work independently and effectively, manage multiple priorities and deadlines.
- Requirements & Benefits: Applicants must:

- The salary range is $50,000 $85,000, commensurate with qualifications and experience. This is a full-time position and includes pension, medical insurance, and paid time off benefits.
