About the role
We are seeking a reliable and organized Administrative Assistant for a temporary, onsite position expected to last approximately 3–6 months, with the possibility of conversion to full-time employment. This is a non-remote role that will support daily office operations, coordinate communication, maintain records, and assist team members with administrative tasks. The ideal candidate is professional, detail-oriented, and able to manage multiple priorities in a fast-paced environment.ResponsibilitiesAnswer and direct phone calls, emails, and other correspondence in a professional manner.Greet visitors, clients, and vendors and provide general front-office support.Schedule appointments, coordinate meetings, and maintain calendars for staff or leadership.Prepare, edit, and organize documents, reports, letters, and memos.Maintain electronic and physical filing systems, ensuring records are accurate and accessible.Process incoming and outgoing mail, deliveries, invoices, purchase orders, and expense reports as needed.Order and track office supplies, coordinate equipment maintenance, and support general office organization.Assist with data entry, basic reporting, meeting notes, and follow-up reminders.Support event planning, travel arrangements, onboarding preparation, and other administrative projects.Handle confidential information with discretion and professionalism.Required QualificationsHigh school diploma or equivalent required; associate degree or administrative certification preferred.Previous administrative, clerical, receptionist, or office support experience preferred.Strong written and verbal communication skills.Excellent organization, time management, and attention to detail.Proficiency with Microsoft Office, Microsoft 365, email, calendars, and common office equipment.Ability to prioritize tasks, meet deadlines, and work independently or as part of a team.Professional demeanor and strong customer service skills.
