About the role
Office AdministratorThe Office Administrator serves as the operational backbone of the firm, ensuring a professional, organized, and welcoming environment for team members and clients alike. This role is highly visible and requires a proactive, service-oriented individual who can manage a broad range of administrative, facilities, and client-facing responsibilities.The Office Administrator is responsible for a variety of tasks that bundle into three core areas of responsibility: flow management, space management, and vendor management. This role is essential to the day-to-day operations of the firm and requires a proactive, organized individual who delivers exceptional customer service to both internal and external clients. This position reports directly to the Senior Manager of Tax Operations and is based in Kirkland, Washington, with an on-site work schedule.Specific duties will include:Maintain common areas including the kitchen, breakrooms, and office suppliesPrepare and maintain conference rooms for meetings, including food and beverage and printed materialsSupport office and desk assignments, office map, and remote team member accommodationsServe as the first point of contact for the firm, answering incoming phone calls, and greeting visitorsHandle all incoming and outgoing communications, including daily mail, faxes, and shared mailbox emailsHandle client document drop-offs, pick-ups, and on-demand service requestsSupport internal and external firm eventsMaintain, budget, and optimize office vendor services and relationshipsContribute to the firm's intranet servicePerform other duties as assigned by the department managersThe successful candidate will have:Associate's degree or higherValid driver's license and reliable transportationCustomer service oriented with a warm and professional demeanorDiscreet and professional when handling sensitive client and firm informationSelf-motivated and disciplined with the ability to anticipate the needs of the office and teamHighly organized with strong attention to detailProficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and SharePointDemonstrated experience in managing multiple tasks and in organizing and prioritizing work assignments and ongoing dutiesAbility to communicate effectively and timely in writing and verbally with colleagues, clients, and other external partnersAbility to work effectively in a diverse team environmentWhile not required, the following skills would be considered an asset:Prior experience in a professional office or professional services environmentBenefits:The pay range for this role is $28.00 - $36.00 per hour. This range includes the anticipated low and high end of the pay range for this position. Actual compensation may vary based on various factors, including experience, education, and/or skill level.For employees working 30 or more hours per week, we offer a comprehensive benefits package that includes medical, dental, and vision coverage, as well as dependent coverage; Health Care and Dependent Care Flexible Spending Accounts; and employer-paid life and disability insurance; and a 401(k) plan with employer match.
