About the role
The ideal candidate will be a hands-on accounting and operations professional who is comfortable managing a busy office environment, supporting the Controller, and holding employees and customers accountable. This individual should be highly organized, persistent, and confident communicating with different personalities while ensuring deadlines, documentation, billing, and collections are handled properly.
Responsibilities:
- Manage day-to-day office operations and administrative workflows
- Oversee billing, accounts receivable, and collections
- Prepare professional collection correspondence and follow up on outstanding payments
- Support the Controller with accounting and operational responsibilities
- Assist with WIP reporting and percentage-of-completion accounting
- Coordinate permits, insurance paperwork, plans, and project documentation
- Track deadlines and follow up with employees to ensure required documentation is submitted
- Maintain accurate and organized records within company systems
- Assist with construction lien documentation and requirements
- Help ensure accounting and operational issues are followed through to resolution
Qualifications:
- Approximately 7–10+ years of relevant accounting, office management, or operations experience
- Bilingual English/Spanish required
- Strong QuickBooks experience
- Strong billing, accounts receivable, and collections experience
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail and follow-through
- Comfortable holding employees and customers accountable
- Confident handling difficult conversations and resolving issues professionally
- Ability to manage multiple priorities and personalities in a fast-paced environment
- Construction, roofing, WIP, percentage-of-completion, and lien experience preferred
- Bachelor's degree in Accounting, Business, Project Management, or related field preferred
