This role is responsible for frontline communications, administrative support, visitor management, and day-to-day office operations. The successful candidate will provide a professional and welcoming experience for guests while supporting the Facilities team in maintaining an efficient workplace environment.Key ResponsibilitiesWelcome visitors at the front desk and guide guests through onsite security protocols.Accept, distribute, and process incoming and outgoing mail, including UPS and FedEx transactions.Answer and direct incoming calls and triage requests to appropriate resources.Perform data entry and reporting activities as assigned.Coordinate and distribute organization-wide announcements related to buildings and facilities.Assist with kitchen organization and support office composting activities, including management of compost collection processes.Provide administrative support to the Facilities team and perform additional duties that contribute to team objectives.Required QualificationsHigh School Diploma or equivalent.Prior experience working in a front desk or reception environment.Strong verbal and written communication skills.Highly organized with exceptional attention to detail.Ability to manage schedules, coordinate events, and support multiple requests simultaneously.Demonstrated ability to remain calm and professional in busy or stressful situations.Preferred QualificationsExperience interacting with visitors, customers, and members of the public.Demonstrated reliability and dependability.Professional demeanor and strong customer service orientation.Desired Skills and CompetenciesStrong organizational skills and self-motivation.Ability to prioritize and manage multiple tasks simultaneously.Positive, helpful, and collaborative attitude.Ability to accept direction and constructive feedback from supervisors and senior staff.Comfort handling inquiries from senior executives, elected officials, visitors, and other stakeholders by directing requests appropriately and ensuring timely follow-up.Technology EnvironmentMicrosoft Outlook• Microsoft 365 •SharePointAdditional InformationThis opportunity is ideal for an organized, customer-focused administrative professional who enjoys working in a highly visible role and serving as a key point of contact for both employees and visitors.
