Moving away from the traditional "factory" clinic model, every patient receives undivided, hands-on attention from a Doctor of Physical Therapy focused on performance optimization, injury prevention, targeted recovery, and relief for low back, neck, and joint pain. Operating on a premium, non-contracted (cash-based / out-of-network) model while assisting patients with major out-of-network insurance plans, we deliver elite treatment tailored to high-level athletes, weekend fitness enthusiasts, busy professionals, and corporate wellness partners.
Role Description: We are seeking an energetic, creative, and customer-focused Front Desk / Patient Care Coordinator to serve as our "Director of First Impressions", manage our clinic’s day-to-day patient journey, and support our digital content and community growth. In this role, you will seamlessly blend 5-star customer service with digital marketing support, ensuring every patient has an exceptional experience.
Key Responsibilities: Patient Experience & Inbound Onboarding: Serve as our primary point of contact. Lead initial phone consultations using our 5-Point System to validate caller needs, explain our premium 1-on-1 model, address financial questions, and schedule consultations. Greet patients warmly and manage digital intake paperwork. Social Media & Content Creation: Film, edit, and post engaging short-form video content (Reels/TikToks/Shorts) featuring Dr. Cosimo Carrieri and Dr. Werner. Manage our social media calendar, write captions, interact with comments/DMs, and drive local digital brand awareness. Community Outreach & Business Growth: Proactively connect with local physician offices, sports clubs, CrossFit gyms, running groups, corporate HR heads, and municipalities to set up partnership events and wellness workshops. Run patient reactivation campaigns. Insurance Verification & Prior Authorizations: Conduct deep-dive out-of-network insurance benefit checks and utilize therapist clinical notes alongside AI tools (like Google Gemini) to compile and submit documentation for Carelon prior authorizations. Clinic Operations & Executive Support: Manage clinic schedules, input Stride EMR data, process payments/check deposits, perform End-of-Day audits, and ensure a tidy, welcoming clinic atmosphere.
Qualifications & Requirements: Communication Excellence: Candidates should possess strong Communication skills to interact effectively with patients, team members, and online audiences. Organization & Detail: Strong organizational skills, attention to detail. In-Office Attendance: Ability to work in office 5 days a week in East Rutherford, NJ. Training & Schedule Alignment: Comfortable starting at 30 hours/week for the 3-month training period before stepping into the full-time salaried role. Value Pitching & Phone Confidence: Comfortable explaining our premium self-pay model and out-of-network insurance benefits with total transparency and confidence. Social Media & Video Skills: Hands-on experience with mobile video capture, basic video editing apps (CapCut, Canva, Instagram Reels, TikTok), and digital content management. Outreach & Networking Mindset: Comfortable making outbound calls and building relationships with local business owners, healthcare providers, and community leaders. Tech-Savvy Operations: Familiarity with modern office tools (Google Workspace), EMR or CRM software, and willingness to learn AI administrative workflows. Schedule & Compensation Structure
Schedule: 5 days a week in office. Training Phase: Starts at 30 hours per week (Part-Time) for an initial 3-month training period. Full-Time Transition: Moves to 40 hours per week (Full-Time) following the successful completion of the 3-month training period. Full-Time Compensation: $50,000 – $60,000 / year base salary upon full-time transition
