About the role

CIO of a Family Office with an international wealth management component seeks Personal Assistant / Household Manager to assume ownership for running her family’s life which includes multiple calendars, all travel and the oversight of two homes and their associated staff. More important than the exact experience here is the type of person appropriate for the role: someone with an inherent sense of authority who can operate within given parameters without ongoing supervision. This person must have familiarity with the HNW lifestyle; managing staff; untangling problems; diffusing drama; negotiating with vendors; selecting venues; designing trips; balancing competing priorities; anticipating needs; negotiating timelines. The job is based in the Family Office, and the PA/HM will travel to the Manhattan residence as needed, and less often to the Long Island property on the North Fork. Hours will follow a typical work week but adjusted when needed – to supervise a special event, to be reachable when the family is traveling in Europe.
Requirements: · BA/BS from competitive US college· Excellent written and verbal communication· Experience managing household staff / vendors· Event planning experience· MS Office· Familiarity with AI and willingness to use this as a tool at work· Superior organizational skills· Flexibility around working hours· Excellent judgment and the ability to balance competing priorities· A sense of authority, ease and kindness Responsibilities· Direct a household staff team, set the weekly schedule, and fill coverage gaps· Handle family logistics: school forms, appointments, insurance claims, birthday and holiday planning· Manage the UES home and periodic needs at the Mattituck property, including vendors and repairs· Manage household finances and paperwork, including vendor invoices and reimbursements· Serve as a point of contact for vendors, contractors, and service providers across properties· Own family travel end to end, including flights, ground transportation, and last-minute changes· Coordinate monthly family events, including vendors, staffing, and guest details· Handle ad hoc requests and special projects for the family as they arise· Maintain strict confidentiality across all family, financial, and personal mattersM-F 10am-6pm (to be adjusted as needed)$130K-$140K/year + bonus, health care, 401k
