About the role

Document Scanning & Indexing Specialist The Document Scanning & Indexing Specialist is responsible for preparing, scanning, indexing, and processing physical and electronic documents in support of Land and Land Services operations. This position will ensure documents are accurately digitized, properly indexed, quality checked, and routed through the appropriate electronic document management systems.
Responsibilities: Prepare physical documents for scanning and electronic processing. Scan and digitize physical documents while ensuring image quality and completeness. Index electronic documents accurately within the company's content management system. Perform quality assurance reviews of scanned and indexed documents. Process and route electronic documents to the appropriate departments or individuals. Track, organize, archive, and maintain physical and electronic records. Process incoming documents received through mail and internal delivery. Search internal and external databases to locate and verify existing or legacy records. Identify document or system issues and escalate non-routine problems to the appropriate Manager or Lead. Assist with special projects and increased workloads as needed. Maintain confidentiality and communicate clearly with Land and Land Services team members.
Qualifications: Experience working with electronic document management systems, document scanning, indexing, records management, or data entry is required. Minimum of 1 year of clerical or general office experience required with Oil & Gas experience highly preferred. High school diploma or equivalent required. Strong attention to detail with the ability to perform accurate and precise work. Basic proficiency with Microsoft Office, including Word, Excel, and Outlook. Strong organizational skills with the ability to prioritize multiple tasks and requests. Good written and verbal communication skills. Ability to work independently with moderate supervision. Must meet conditional job offer requirements.
