About the role
- Manage day-to-day accounts payable and accounts receivable administration
- Serve as a point of contact for clients, subcontractors, and vendors regarding financial matters
- Receive, organize, file, and distribute vendor and subcontractor invoices to Project Managers for review
- Track AMEX, Home Depot, and gas account spending for invoicing and payables
- Prepare pay application books for Project Manager review and submission
- Assist with processing subcontractor change orders as needed
- Manage lien waivers and other documentation required for subcontractor and vendor billing and payments
- Set up new projects in QuickBooks and PROCOREEnter and maintain AP and AR information in QuickBooks and PROCOREUpdate subcontractor cost codes and assist Project Managers with accurate coding
- Maintain and audit subcontractor insurance certificates, W-9s, and lien waivers
- Enter financial information into QuickBooks and assist with accurate job cost tracking
- Assist with monthly project billing in AIA format and coordinate supporting documentation for client submissions
- Prepare financial reports related to AP, AR, job costing, and account reconciliations
- Maintain organized digital and physical filing systems and ensure accurate document retention
- Provide administrative support to Project Managers, Operations, and Accounting teams
- Communicate professionally with clients, vendors, subcontractors, and internal teams
- Maintain confidentiality and accuracy when handling financial information
- Perform additional administrative and operational duties as assigned
- Previous accounts payable, accounts receivable, billing, or accounting administration experience
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Experience with QuickBooks required
- Experience with PROCORE preferred
- Experience with Dropbox or similar document management systems
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Ability to manage multiple projects and priorities in a fast-paced environment
- Strong written and verbal communication skills
- Professional and responsive communication with clients, vendors, and subcontractors
- Ability to maintain confidential financial and company information
- Construction industry or project accounting experience preferred
