Branch Administrative Assistant IIILocation: Bellevue, WAWork Arrangement: OnsitePay Rate: $25–$28 per hourContract Length: 3 monthsPosition SummaryWe are seeking a highly organized and detail-oriented Branch Administrative Assistant III to provide comprehensive administrative and operational support within a busy branch office.This role is responsible for a broad range of administrative functions, including customer service, loan file support, research, reporting, document management, supply coordination, scheduling, and general office operations. The ideal candidate is proactive, professional, highly organized, and comfortable managing multiple priorities with minimal supervision.Key ResponsibilitiesProvide high-level administrative and clerical support to Processors, including special projects, basic reports, and mortgage-related documentation.Order and track required items such as insurance documents, condominium certificates, 4506 forms, FHA case numbers, LDP/GSA searches, CAIVRs, bond program items, subordination agreements, verifications, appraisals, and title and escrow documents.Complete loan file audits to ensure accuracy, completeness, and compliance with required record-retention procedures.Reconcile files and take appropriate action when needed, including file cancellations and record maintenance.Print and mail disclosure documents.Communicate with escrow companies regarding trailing items, track outstanding documentation, and follow up until all required documents are received.Monitor, reconcile, and resolve discrepancies related to appraisal and credit report invoices.Provide administrative support to the Branch Manager and Branch Operations Manager as needed.Answer incoming calls professionally, provide information, and route callers to the appropriate team members.Receive, sort, log, and distribute incoming mail and packages according to branch procedures.Assist with preparing and distributing mailings.Maintain office supply inventory, place and expedite orders, and verify receipt of supplies.Partner with the IT Helpdesk to troubleshoot basic office technology issues.Perform general office support duties, including photocopying, faxing, filing, and mail distribution.Prepare copies and other materials for meetings and marketing campaigns.Help maintain a clean, organized, and comfortable office environment.Compose, type, and distribute correspondence and memos.Coordinate meetings, events, and conferences with cross-functional teams, including preparing agendas and arranging meeting facilities.Create and update forms and processes to improve file flow and office efficiency.Perform other duties as assigned.QualificationsHigh school diploma or equivalent preferred.Minimum of four years of experience in an administrative assistant or related role.Previous experience in mortgage lending, finance, or a similar industry strongly preferredExperience processing or originating loans is highly desirable.Typing speed of 60–70 words per minute.Strong commitment to delivering exceptional customer service.Excellent diplomacy, tact, discretion, and confidentiality.Professional and patient approach when interacting with internal and external customers.Proficiency with data entry and Microsoft Word, Excel, and PowerPoint.Strong organizational skills with the ability to manage multiple priorities simultaneously.Excellent verbal and written communication skills, including strong spelling, grammar, and punctuation.Self-motivated, dependable, and highly detail-oriented.Strong ethical standards and commitment to professional values.EQUAL EMPLOYMENT OPPORTUNITY STATEMENT:Suna Solutions provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state, or local laws.This policy applies to all terms and conditions of employment, including recruiting, hiring, placement, promotion, termination, layoff, recall, transfer, leaves of absence, compensation, and training.Applicants, with criminal histories, are considered in a manner that is consistent with local, state, and federal laws.REQUESTING AN ACCOMODATIONSuna Solutions is committed to providing equal employment opportunities for persons with disabilities or religious observances, including reasonable accommodation when needed.
