About the role
- Greet and welcome all visitors with warmth, professionalism, and attentiveness
- Manage incoming calls, route inquiries, and take accurate messages
- Coordinate conference room scheduling and prepare meeting spaces for client visits
- Handle incoming and outgoing mail, packages, and deliveries
- Maintain a clean, organized, and professional reception area at all times and assist with maintaining the same standard for all common areas as needed
- Support administrative staff with light office tasks as needed
- Assist with preparation for events or meetings
- Produce professional-quality printed materials by confirming specifications, selecting appropriate paper and supplies, configuring specialty printer settings, binding materials as needed, reviewing output for quality and accuracy, and troubleshooting printing issues
- Uphold confidentiality standards appropriate to a financial services environment
- Prior experience in a professional office or corporate environment required; financial services, legal, or executive office experience a plus
- Strong verbal and written communication skills
- Demonstrated customer service or client-facing experience in a professional or service environment
- Proficiency with basic office technology, including email, Microsoft Office, and phone systems
- Professional appearance and demeanor consistent with a client-facing financial services setting
- High school diploma or equivalent required
- Associate's or bachelor's degree, or equivalent professional experience preferred
- Familiarity with scheduling or calendar tools such as Outlook or Google Calendar preferred
- Experience handling sensitive or confidential information preferred
- A naturally hospitable, composed presence — you set the tone for every visit
- Exceptional reliability; punctuality and consistency are essential in this role
- Discretion and good judgment when handling sensitive client information

- Part-time: Monday – Thursday, 9:00 AM – 3:00 PM (24 hours/week)
