Administrative AssistantThis is an entry level administrative assistant position that is responsible for supporting guest and front office operations. Polished, professional and a welcoming demeanor at all times. Must be comfortable functioning in a role that requires a high degree of flexibility with a willingness to take on a wide range of responsibilities to support the front office operations. Aptitude for working in collaborative team environments. Curiosity and proactive learning mindset to support continuous growth both personally and for the business. Ability to manage multiple, concurrent tasks with the highest levels of professionalism, timely turn-around times and client service. Basic ability to communicate clearly, both written and verbal.Key ResponsibilitiesGreeting and welcoming all visitors, keeping a visitor's log; guiding visitors to the appropriate personnel. Answering and providing general company knowledge and information to callers on a multi-line phone system in a friendly, clear manner.Routing calls to appropriate contacts. Administer incoming and outgoing mail; monitor and manage VM/fax machine messages. Order and maintain office supplies. Maintain the cleanliness, neatness and supplies of the mail room, reception area, and other common areas.Regularly interfaces with individuals at all levels of the organization.As needed, assist with the logistics for events, meetings, seminars or conferences.Facilitate social gathering/meetings by ordering and setting up food/drinks. Assist with company events by accepting incoming food orders and helping with set up/clean up.Role-Specific Technical Knowledge & SkillsComfort in learning new technologies as to become proficient in desktop systems/internal software necessary to successfully perform assigned tasks.Beginner to Intermediate knowledge of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) or other equivalent platform.Understand policies as they relate to building security and maintain a high level of security awareness for the reception area.Demonstrates understanding of company policies and procedures and their application and impact on company operations and success.Computer and Software ApplicationsDeveloping basic computer and office equipment literacy. Developing knowledge of common business applications (e.g. Microsoft Office Suite).
