About the Role:
QTL is an architectural LED lighting manufacturer in Milford, CT. Our products light some of the most impressive commercial, hospitality, and residential spaces in North America. We're hiring an Event Coordinator to run our event program day-to-day: trade shows, customer visits to our facility, internal company events, and company culture moments. You'll also own training room samples, special sample kit assembly, and the pre-shipment checklist that keeps events running smoothly. A dedicated colleague handles display design, packing, and shipping. You own everything else.
What You'll Do:
Coordinate trade shows end-to-end: booth booking, vendor contracts, swag and brochures, insurance, on-site logistics for staff, and digital lead capture setup. Review the pre-shipment checklist for every event to confirm materials are packed and ready. Coordinate customer visits to our facility (scheduling, meals, samples, hospitality) and smaller rep-hosted and regional events. Plan and run company culture events: the annual holiday party, internal team meetings and offsites, and monthly birthday celebrations. Maintain training room samples quarterly and assemble special sample kits 1 to 2 times per year. Administer QTL's continuing education program for designers and architects (approximately 20 sessions per year).Keep the event tracker current and reconciled against accounting.
What You'll Bring:
2 to 4 years in event coordination, marketing coordination, or hospitality operations. Strong vendor, budget, and timeline management under production pressure. Comfort with the physical realities of event work: packing, lifting, on-site setup support. Proficiency with Microsoft Office (Excel especially) and comfort learning new tools. Bachelor's degree or equivalent experience.
Nice to Have:
Experience in lighting, architecture, interior design, or other specification-driven B2B industries. Comfort using AI tools for research, drafting, and process improvement.
