This opportunity offers a detail-oriented administrative professional the chance to support a construction site team, coordinate with vendors and subcontractors, and contribute to the establishment of a new Phoenix office. No advanced construction knowledge is required, as comprehensive on-the-job training will be provided.
Responsibilities:
- Perform general administrative and clerical duties within the construction site office.
- Prepare, organize, and maintain construction-related documents, records, and site management files.
- Provide administrative support to the Site Manager and construction supervisors.
- Arrange equipment, rental items, consumable materials, and office supplies for the site.
- Track delivery schedules and follow up with vendors regarding company-procured items.
- Coordinate accommodation and transportation arrangements for business travelers.
- Process invoices, receipts, expense reimbursements, and procurement documentation.
- Communicate with subcontractors, vendors, visitors, and internal stakeholders while supporting additional administrative needs.
- Must-Have Skills:
- Basic computer proficiency, including Microsoft Word, Excel, and Outlook.
- Strong attention to detail and accuracy when managing documents and data.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities and tasks simultaneously.
- Professional and courteous communication skills for handling calls, visitors, vendors, and subcontractors.
- Ability to work independently and collaboratively as part of a site team.
- Reliable administrative mindset with a willingness to learn construction-related processes on the job.
- Nice-to-Have Skills:
- Previous experience in construction, site administration, or office administration.
- Experience with document management, purchasing, invoicing, expense processing, or basic accounting.
- Experience coordinating with vendors, subcontractors, or external business partners.
- Experience supporting business travel, accommodation, or transportation arrangements.
