In this hybrid role, you'll be responsible for ensuring the smooth daily operation of the Palo Alto office, occasionally supporting our San Francisco office in person, and providing remote administrative and HR support to teams across all North America locations.This is a people-facing, high-impact role that touches everything from office coordination to employee onboarding, and plays a key part in shaping a seamless employee experience. The ideal candidate is organized, detail-oriented, and thrives in a dynamic, fast-paced environment.ResponsibilitiesHR Operations:Facilitate end-to-end onboarding and offboarding processes for North America employeesMaintain up-to-date employee records and documentation in HR systemsAssist with internal HR communications and coordination of HR programs to ensure smooth executionAct as a point of contact for employee inquiries related to HR policies and day-to-day supportOffice & Administrative SupportDeliver high-quality administrative support to all North America office personnelOversee procurement and maintenance of office equipment and supplies, to ensure employees are fully supported in their productivity.Organize and maintain both physical and digital company records, ensuring easy retrieval and compliance.Coordinate travel arrangements, including booking flights, hotels, and planning itinerariesPartner with the Finance department to process invoices and manage reimbursementsBuild and maintain strong relationships with local vendors, negotiate contracts and service agreements to meet administrative and operational needsLiaise with property management to resolve office maintenance and equipment issues promptlySupport planning and execution of team-building events and office activities, to boost employee morale and foster a positive work culture.Assist the Chief of Staff in managing special projects, including writing documentation, conducting research, and preparing reports.Perform other daily administrative duties as assigned by the line managerQualificationsA minimum of 3+ years of administrative work experience, ideally within a multinational or fast-growing company.Ability to handle confidential information with sound judgement and discretionAttentive, diligent, careful, detail-oriented, patient, and possesses outstanding organization and time-management skillsCapable of juggling multiple priorities and ongoing tasks simultaneously in a fast-paced environmentStrong interpersonal and communication skills, with the ability to work effectively with diverse internal and external stakeholdersAdaptable and collaborative in a multicultural team environmentFluency in English and proficiency in Mandarin is required, both written and verbal.What We OfferCompetitive salary, stock options, and performance-based bonuses.A 5K monitor, Herman Miller chair, standing desk, and MacBook.Comprehensive medical, dental, and vision plans.Global Team Offsite.A challenging but exciting work environment with a strong culture of innovation and entrepreneurship.Opportunities for advancement and career growth.
