Overview: As a Legal Executive Assistant, you will serve as a trusted partner to attorneys, helping manage communications, schedules, travel, and client interactions. You\'ll be a key contributor to the success of the legal practice, ensuring seamless operations and top-tier service delivery. This role supports senior legal professionals in a fast-paced, client-focused environment.
Responsibilities: Serve as a strategic administrative partner, managing day-to-day operations and anticipating needs. Maintain confidentiality and professionalism in all interactions. Monitor and manage email inboxes, prioritize communications, and ensure timely follow-up. Coordinate complex calendars across multiple time zones, including internal and external meetings. Prepare and edit correspondence, presentations, and legal documents with a high level of accuracy. Organize and maintain electronic and paper files in accordance with firm policies. Arrange domestic and international travel, ensuring smooth logistics and adherence to preferences. Track business development activities and assist with client/matter intake processes. Manage billing workflows, including diary entries, proforma review, and expense reconciliation. Act as a gatekeeper, prioritizing requests and managing competing demands with discretion. Maintain and update client contact databases and matter lists. Foster strong relationships with internal teams and external stakeholders. Provide superior client service with a proactive, solutions-oriented approach. Support document preparation, scanning, filing, and other administrative tasks as needed. Collaborate with team members to ensure continuity of support and knowledge sharing. Participate in team meetings, training sessions, and firm-wide initiatives.
Qualifications: Bachelor\'s degree or equivalent experience.
Minimum 5 years of experience in a legal or professional services environment. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Exceptional organizational and time management skills. Strong written and verbal communication abilities. Ability to work independently and handle confidential information with discretion. Comfortable with a hybrid schedule and occasional after-hours support.
