About the Role:
An established, privately owned service business in Westchester County is looking for an experienced Bookkeeper & Office Administrator to join our team. We are looking for an energetic, highly organized self-starter who likes to stay busy, gets things done, and takes pride in keeping an office running smoothly. This is a hands-on position—not a supervisory accounting role. The ideal candidate enjoys being involved in the day-to-day details of a small business and is equally comfortable working in Quick Books, handling payroll, resolving a billing question, coordinating with a vendor, or helping management with an administrative task. You should be someone who sees what needs to be done and takes initiative rather than waiting to be asked.
What You'll Do:
Bookkeeping & Accounting Maintain day-to-day bookkeeping in Quick Books Manage accounts payable and accounts receivable Complete bank and credit card reconciliations Prepare journal entries and assist with month-end close Generate routine financial reports for management Manage sales tax filings Review customer and service invoices for accuracy Resolve routine accounting discrepancies and billing questions Assist with basic job-cost tracking Payroll & Employee Administration Process payroll through Paychex Reconcile payroll accounts and liabilities Coordinate new-hire paperwork and employee onboarding Maintain employee and HR records Assist with day-to-day employee administration Office & Business Administration Keep daily office operations organized and moving efficiently Provide administrative support to management and the sales team Coordinate purchasing and communicate with vendors Assist with vendor pricing and service agreements Maintain insurance and other business documentation Learn and use our work-order/service management software Help troubleshoot everyday office technology issues Identify opportunities to simplify and improve office processes Pitch in wherever needed to help the business run smoothly What We're Looking For 5+ years of hands-on Quick Books experience Solid bookkeeping experience including AP, AR, reconciliations, journal entries, and month-end procedures Experience with payroll; Paychex experience is a plus Strong computer skills and confidence learning new software Excellent organizational skills and attention to detail Ability to manage multiple priorities and work at a steady, efficient pace Energetic, proactive, and self-motivatedA natural self-starter who doesn't need to be reminded to follow up Resourceful and comfortable figuring things out independently Practical problem-solving skills and good judgment Clear and professional communication skills Comfortable working in a small-business environment where responsibilities can vary from day to day You'll Be a Great Fit If You...Enjoy being busy and productive.
