Position Overview:
The Personal Assistant will provide dedicated support to a senior leader, managing a broad range of personal, administrative, and coordination responsibilities. Working closely with the Executive Assistant, this individual will help ensure seamless day-to-day operations by handling personal matters, coordinating schedules and logistics, overseeing special projects, and serving as a trusted resource for both routine and time-sensitive requests. The ideal candidate is highly organized, proactive, resourceful, and comfortable operating in a fast-paced environment where priorities can shift quickly. Success in this role requires sound judgment, attention to detail, discretion, and a strong service-oriented mindset. What to Expect Personal Support & Coordination Manage personal appointments, reservations, and scheduling requests. Coordinate personal travel arrangements, itineraries, transportation, and accommodations. Handle personal correspondence and administrative matters as directed. Assist with special projects, research, and miscellaneous requests. Coordinate household vendors, maintenance appointments, and service providers. Manage personal errands and time-sensitive tasks. Maintain organized records, contacts, documents, and important information. Proactively identify and resolve issues before they arise. Executive & Administrative Support Partner closely with the Executive Assistant to ensure alignment on priorities and scheduling. Provide backup support for calendar management, travel coordination, meeting scheduling, and logistics as needed. Assist with preparation for meetings, events, and business-related engagements. Help track expenses, invoices, and administrative documentation. Coordinate with internal and external stakeholders on behalf of the Senior Leader when appropriate. Support the successful execution of special initiatives and projects. Serve as a reliable point of contact during periods of Executive Assistant absence or increased workload. Relationship Management Build and maintain productive relationships with vendors, service providers, and key contacts. Exercise the highest level of discretion when handling sensitive and confidential information. Represent the office professionally in all interactions. What Is Required 3-7+ years of experience supporting senior executives, high-net-worth individuals, principals, or family office environments. Demonstrated experience managing complex schedules, travel, and administrative priorities. Exceptional organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities with a sense of urgency. High degree of professionalism, discretion, and sound judgment. Proficiency with Microsoft Office, Outlook, and calendar management tools. Flexibility to support occasional after-hours requests when necessary.
