Executive Leadership Assistant Realty of America | Berwyn, IL | Full Time | On-Site Realty of America (ROA) is a growing real estate brokerage headquartered in the Chicago area, with operations in the U.S. and abroad. We're looking for an Executive Leadership Assistant to keep our executive team organized, prepared, and focused on running the business. This is a full-time, 100% in-person role in our Berwyn, Illinois office. You'll support senior executives by managing calendars, coordinating meetings and travel, preparing materials, and serving as a trusted point of contact for staff, agents, clients, and partners. The right person is discreet, proactive, and steady under pressure, and anticipates needs before they're voiced.
WHAT YOU'LL DO:
Manage complex, changing calendars for multiple executives and protect priority time- Schedule internal, board, investor, and client meetings, including across time zones- Prepare agendas, briefing packets, and presentation materials- Take minutes in leadership meetings and follow up on action items and deadlines- Draft, proofread, and format correspondence, memos, reports, and presentations- Screen and route calls, emails, and visitors- Book domestic and international travel and manage itineraries- Process executive expense reports- Plan leadership offsites, company events, and client functions- Greet visitors and keep a professional front-office presence- Maintain organized digital and physical files, order supplies, and coordinate vendors- Support special projects and act as a liaison across departments- Handle confidential business, financial, and personnel information with complete discretionWHAT YOU BRING- 3+ years as an executive assistant, administrative assistant, or similar role supporting senior leaders- Advanced Microsoft 365 skills (Outlook, Word, Excel, Power Point, Teams)- Strong written and verbal communication with sharp attention to detail- Ability to juggle multiple priorities in a fast-paced environment- Proven discretion with sensitive information- Ability to work on-site in Berwyn, Monday through Friday- High school diploma or equivalentNICE TO HAVE- Associate's or bachelor's degree- Experience supporting C-suite or multiple executives- Real estate, brokerage, or professional services background- Bilingual in English and Spanish- CAP or similar certificationCOMPENSATION AND BENEFITS- Salary: $70,000 per year (non-exempt, overtime eligible)- Medical, dental, and vision insurance- Paid time off and paid holidays Realty of America is an equal opportunity employer.
