Harvey Nash USA has been engaged to find an Executive Assistant to provide high-impact administrative support to senior leadership for a leading technology organization.
Location: Bellevue, WA – Onsite
Duration: 12 Months We are seeking an experienced and adaptable Executive Assistant who can quickly learn executive preferences, manage competing priorities, and provide reliable administrative support in a fast-paced environment.
Day-to-Day
Responsibilities: Manage complex, high-volume executive calendars across multiple time zones. Schedule, reschedule, and prioritize meetings based on business needs. Proactively identify and resolve scheduling conflicts. Serve as a point of contact for internal and external stakeholders. Draft, proofread, and manage executive email correspondence. Screen and prioritize incoming communications and flag urgent items. Prepare meeting agendas, talking points, pre-read materials, and briefing documents. Coordinate meeting logistics, including rooms, A/V, and attendees. Take meeting notes and track action items through completion. Arrange domestic and international travel, including flights, hotels, and ground transportation. Build detailed travel itineraries and assist with travel disruptions. Process expense reports accurately and on time. Support team events, offsites, Town Halls, and employee engagement activities. Coordinate with vendors and manage event-related logistics. Maintain distribution lists, team resources, and filing systems. Process office supply and procurement requests. Support onboarding logistics for new team members. Assist with workspace coordination, including desk assignments and seating. Must-Have Skills 3+ years of experience as an Executive Assistant supporting senior or executive-level leadership. Experience managing complex calendars across multiple time zones. Strong scheduling, prioritization, and calendar conflict-resolution skills. Experience coordinating domestic and international travel. Strong written and verbal communication skills. Proficiency with Microsoft Office, including Outlook, Word, Excel, and Power Point, or equivalent tools. Ability to work independently and effectively in a fast-paced environment.
Nice-to-Have: Skills Experience supporting senior leadership in a large or complex organization. Experience coordinating executive/team events, offsites, or Town Halls. Experience with expense management systems. Experience with procurement processes and tools. Experience supporting onboarding and workspace coordination. Familiarity with working across multiple teams, functions, and time zones. Soft Skills Highly organized and detail-oriented. Strong time-management and prioritization skills. Proactive and solutions-oriented. Excellent communication and interpersonal skills. Comfortable managing ambiguity and changing priorities. Able to maintain composure under tight deadlines. Adaptable and quick to learn new processes and executive preferences. Strong follow-through and accountability. Professional and confident when interacting with senior stakeholders. Education Bachelor's degree preferred. Equivalent combination of education and relevant Executive Assistant experience may be considered. A reasonable, good faith estimate of the minimum and maximum hourly wage for this position is $25/hr - $29/hr on W2.
