Multi-Site Office Services Coordinator Pay Rate: $21.00$22.00/hour, paid weekly. Schedule: MondayFriday. Shift times vary by assigned location and may include 7:00 AM4:00 PM, 8:00 AM5:00 PM, or 9:00 AM6:00 PM. Candidates must be available between 7:00 AM and 7:00 PM and able to adjust schedules on short notice. Overtime may be required. Locations: Stamford, CT; Greenwich, CT; Tarrytown, NY; Rye Brook, NY; Armonk, NY; and Yorktown Heights, NY. Duration: Temp-to-Hire. Important Travel Requirements This is a multi-site position requiring regular travel between customer locations throughout Connecticut and New York. Candidates must have a reliable personal vehicle and be comfortable driving between assigned worksites. Employees may be reassigned to a different location at the beginning of the day or during the workday. Parking availability varies by location. Eligible parking expenses may be reimbursed. Certain eligible mileage expenses may also be reimbursed. Vaccination Requirements Candidates must meet required COVID-19 vaccination requirements because some assignments may take place within healthcare facilities. Annual flu vaccination is required for applicable healthcare locations. Overview The Multi-Site Office Services Coordinator provides customer-facing office and administrative support at multiple client locations throughout the assigned territory. This position provides coverage during employee absences, vacations, training, new site implementations, and other operational needs. The role requires flexibility and the ability to quickly adapt to different professional environments while supporting reception, mailroom, print production, hospitality, conference services, and general office operations. Responsibilities Provide professional customer service and office support at multiple client locations. Greet visitors, answer incoming calls, and direct customers and guests appropriately. Support reception and front-desk operations. Process incoming and outgoing mail, packages, and deliveries. Perform mailroom and shipping/receiving duties. Complete print production assignments, including printing, assembling, and binding documents. Replenish paper and toner in printers and multifunction devices. Clear basic printer jams and assist with routine equipment needs. Schedule and coordinate conference rooms using Outlook or other scheduling applications. Set up and break down conference rooms for meetings and events. Communicate with customers and coworkers through Outlook, Microsoft Teams, telephone, and in-person interactions. Stock kitchen, pantry, and office supplies. Maintain organized and professional kitchens, conference rooms, and common office areas. Assist with hospitality services, including catering deliveries and meeting support. Learn and follow site-specific procedures and customer service requirements. Adjust assignments and responsibilities based on changing operational needs. Perform additional office services duties as assigned. Physical Requirements Ability to stand and walk for extended periods throughout the workday. Ability to travel between buildings at certain customer locations. Ability to remain standing for extended periods while completing print production assignments. Ability to occasionally lift and move packages, supplies, catering deliveries, and other materials weighing up to approximately 50 pounds. Qualifications High school diploma or GED. Reliable transportation and willingness to travel between multiple customer locations required. Strong customer service and interpersonal skills. Professional, friendly, and outgoing communication style. Strong attention to detail and organizational skills. Ability to remain patient and professional in customer-facing environments. Ability to learn new processes, equipment, and client-specific procedures. General computer proficiency required. Experience using Microsoft 365 applications, including Outlook and Microsoft Teams. Previous print production, mailroom, reception, hospitality, or office services experience preferred. Previous experience working within a law firm or other professional office environment preferred.
