Position Summary: We are seeking an experienced Executive Assistant to support our CEO's business and personal calendar and administrative needs. The ideal candidate is well-spoken, self-sufficient, and extremely organized, with excellent judgment to prioritize multiple and potentially competing requests in a fast-paced environment.
Key Responsibilities: Coordinate internal and external meetings with timely, accurate logistics, communication, and follow-up Arrange domestic and international travel, understanding both business agenda and personal preferences, including restaurant and business entertainment suggestions and reservations Prepare monthly expense reports, identifying and resolving discrepancies Proactively check in with the CEO and broader internal support team Screen communications — reading, researching, collecting, prioritizing, and routing correspondence with professionalism Maintain accurate contact information in Outlook and the CRM database Maintain strict confidentiality regarding CEO, client, and company information Support personal and special projects as directed Qualifications 5+ years of Executive or Personal Assistant experience, preferably in Financial Services or Professional Services (consulting, law, advisory, etc.)Proficient in MS Office Suite (Word, Excel, Outlook, Power Point)Highly organized with strong attention to detail and accuracy Exceptional verbal and written communication skills Proactive and self-motivated; able to anticipate the needs of others Skilled at juggling multiple assignments and prioritizing with a sense of urgency Comfortable managing competing demands, change, delays, or unexpected events Able to follow established processes while identifying opportunities for improvement Self-starter who works well independently and collaboratively across teams Positive, enthusiastic approach to work High degree of professionalism; performs well under pressure Punctual and 100% dependable Resourceful, with the ability to anticipate problems and develop calm, efficient solutions Trustworthy, with discretion in handling confidential and sensitive information Respectful, dependable, and ethical; upholds firm values Excellent professional references
