Location: West Palm Beach, FL
Schedule: 5 days on-site, with increased flexibility during the summer months
Compensation: Up to $100,000 base salary + bonus 3-7 Years Experience
Position Overview: A growing and dynamic organization is seeking a polished, proactive, and highly organized Receptionist / Office Administrator & Personal Assistant to support its West Palm Beach office and provide dedicated assistance to the CEO.This is a multifaceted position combining front-of-house responsibilities, day-to-day office coordination, and personal assistance. The ideal candidate will be professional, personable, highly detail-oriented, and comfortable handling a variety of responsibilities in a fast-paced environment. This individual should take a hands-on approach, anticipate needs, and be willing to assist wherever necessary.
Key Responsibilities: Reception & Office Administration Serve as the first point of contact for visitors, guests, and incoming calls, providing a polished and welcoming experience Manage the reception area and ensure the office is organized, presentable, and running smoothly Coordinate conference rooms, meetings, and office scheduling Manage incoming and outgoing mail, packages, and deliveries Order and maintain office, kitchen, and general supplies Coordinate with building management, vendors, and external service providers Assist with catering, team lunches, meetings, and office events Help troubleshoot day-to-day office needs and proactively identify areas for improvement Provide general administrative support to the broader team as needed Personal Assistant to CEOProvide day-to-day personal and administrative support to the CEOAssist with personal calendar management, appointments, reservations, and scheduling Coordinate personal travel arrangements and itineraries as needed Handle personal errands, purchases, returns, and other ad hoc requests Assist with household-related coordination, including vendors, appointments, and deliveries when necessary Maintain organization across competing priorities and ensure important tasks and deadlines are followed through Handle sensitive and confidential information with the highest level of discretion Anticipate needs and proactively resolve issues before they arise
Qualifications: Prior experience in a receptionist, office coordinator, administrative assistant, executive assistant, personal assistant, or similar support role Excellent organizational and time-management skills Strong written and verbal communication skills Polished, professional, and service-oriented demeanor High level of attention to detail and follow-through Ability to manage multiple priorities and shift between office and personal responsibilities seamlessly Proactive, resourceful, and comfortable taking initiative Strong judgment and discretion when handling confidential matters Flexible mentality and willingness to assist with tasks outside of a traditional job description Ability to work on-site in West Palm Beach five days per week, with additional flexibility offered during the summer months Compensation & Schedule Base salary up to $100,000, depending on experience Bonus eligibility Five days per week on-site in West Palm Beach Increased flexibility during the summer months Opportunity to work in a varied, high-visibility position with significant ownership over day-to-day office operations and support to the CEO
