Title: HR Coordinator
Pay Rate: $26 - $28/hour
Hours: M-F 8am - 5pm, standard business hours
Location: Louisville, KY 40219 The Coordinator is responsible for delivering a seamless and compliant onboarding experience for new hires from offer acceptance through successful integration into the organization. This role serves as the primary point of contact for new employees and internal stakeholders, coordinating orientation, pre-employment requirements, system access, badging, equipment requests, and onboarding activities. The Coordinator partners closely with Human Resources, Recruiting, Operations, Security, IT, and hiring managers to ensure new employees are prepared, engaged, and ready for success on their first day.
Overall Responsibilities: Coordinate all onboarding activities for newly hired employees. Serve as the primary point of contact for new hires before and during their onboarding experience. Verify completion of onboarding requirements, including badge creation documentation, offer documentation, background screening, employment authorization, and new hire paperwork prior to orientation. Ensure completion, accuracy, and retention of required employment documentation, including Form I-9s and employment eligibility verification. Initiate, monitor, and verify background screening results and escalate any discrepancies for appropriate review. Maintain onboarding trackers, records, and reporting to ensure compliance with company standards and regulatory requirements. Facilitate new hire orientation sessions and ensure completion of required onboarding documentation. Own the temp-to-hire conversion process, including all administrative tasks. Communicate start dates, orientation schedules, reporting instructions, and first-day expectations. Create a welcoming and professional onboarding experience that reflects company culture and values.
Minimum Qualifications / Skills / Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Associate’s degree in Human Resources, Business Administration, or a related field preferred.2+ years of experience in Human Resources, onboarding, recruiting coordination, employee services, or administrative support. Experience working with UKG or other HRIS platforms and onboarding systems preferred.
Preferred Qualifications / Skills: Bachelor’s degree preferred. Strong organizational and project coordination skills. Bilingual English/Spanish preferred. Excellent verbal and written communication skills. Ability to manage multiple priorities while maintaining accuracy and attention to detail. Knowledge of employment documentation requirements, including I-9 compliance. Proficiency in Microsoft Office Suite, Outlook, Teams, Excel, and HR technology systems. Ability to handle confidential information with discretion and professionalism.
Physical Demands & Work Environment: Ability to sit, stand, walk, and use a computer for extended periods. Occasional lifting of onboarding materials or office supplies up to 50 pounds. Ability to travel between local facilities as needed.
