About the role

General Affairs Clerk The General Affairs Clerk supports the day-to-day administrative and operational needs of the plant and office by coordinating general office services, supplies, mail distribution, vendor activities, and visitor support. Reporting to the General Affairs Assistant Manager, this position helps ensure plant and administrative areas are organized, properly supplied, and operating efficiently. The General Affairs Clerk also provides clerical and administrative support to the General Affairs and Administration teams, maintains accurate records, processes vendor invoices and payments, and assists with other activities that support a professional and efficient workplace. The incumbent is expected to perform the following functions that the company has determined are essential to this position: Prepare for and provide support to onsite visitors and VIP guests. Receive and distribute mail to each department in accordance with established mail delivery protocols. Monitor supplies for plant and office areas and team meeting rooms, and order supplies as needed. Maintain the team member cell phone list and distribute updated information to departments on a regular basis. Coordinate with uniform vendors to ensure correct quantities and sizes are ordered and team members receive uniforms in a timely manner. Process vendor payments according to established payment schedules. Record actual costs for applicable items based on vendor invoices. Provide clerical and administrative support to the General Affairs and Administration teams as needed. Perform other related duties as assigned.
Required Skills and Abilities: Intermediate proficiency in Microsoft Word and Excel; PowerPoint skills are a plus. Ability to lift bags of mail, several reams of copier paper, and other comparable items. Excellent verbal and written communication skills. Self-starter with the initiative to identify opportunities and continuously improve processes. Excellent time-management skills with the ability to multitask, prioritize work, and respond to changing needs. Ability to understand project descriptions that include cost estimates and benchmarking information.
Beneficial Skills and Experience: Associate degree or higher preferred. Previous administrative, clerical, office support, or manufacturing-environment experience is a plus.
Education/Training/Certifications: High School Diploma or GED required.
Travel Requirements: Approximately 0%. Must be willing and available to travel to such locations and with such frequency as is necessary and desirable to meet business needs.

Must perform job duties onsite, when necessary, except those duties that are customarily or by their nature performed offsite (for example, offsite customer visits). Must be able to work effectively in a fast-paced environment. Must be able to work on multiple assignments at once and complete assignments within deadline and budget (if applicable) with satisfactory quality. Must be able to operate as an effective team member. Must be committed to a high standard of safety and be willing and able to comply with all safety laws and company safety policies. Attendance/Work Hour Requirements: Must maintain an acceptable attendance record. Must be willing and available to work weekends and holidays as necessary and desirable to meet business needs.
