Office AdministratorDirect hire!Responsible for general office administration duties including implementation and adherence of office policies and procedures. Duties shall include general administration of office coordination and purchasing of office supplies, materials, and deliveries. Maintain overall well-being of the office and ensuring its business functions are not impacted by administration issuesIndicate specific job duties and responsibilities.Ensure administration processes are adhered to standard office policies and proceduresCommunicate on phone, email with clients, vendors, employees and ManagementTake and distribute messagesReceive and direct visitors and clients, provide welcome refreshmentsGeneral clerical duties including photocopying, scanning, fax and mailingMaintain electronic and hard copy filing systemPrepare written responses to routine enquiriesPrepare and modify documents including correspondence, reports, drafts, memos and emailsSchedule and coordinate meetings, appointments and travel arrangements for managers or supervisorsReceive, open, sort and distribute incoming mail or correspondenceMaintain office supply inventoriesCoordinate maintenance of office facilities and equipmentCoordinate and maintain records for staff, telephones, parking and petty cashCheck and enter data into office computer systemSchedule prescription pickup and delivery of ProductsEnsure packaging of Products for deliverySchedule and maintain patient appointmentsOrganize office internal and external eventsControlling basic accounting functions such as checking invoices and tracking and communicating payments thereofKeep office facilities neat, clean, and tidyRun errands as needed and requested by ManagementAdequate computer skills and knowledge of relevant software (Excel, MSWord, QuickBooks, AdobeKnowledge of clerical and administrative procedures and systems such as filing and record keepingKnowledge of principles and practices of basic office managementGood communication skills written and verbalProfessional personal presentationCustomer service orientationAttention to details and accuracyFlexibility, adaptability, confidentiality, reliabilityInterpersonal skills, teamworkAll your information will be kept confidential according to EEO guidelines.
