About the role
Position Summary
The Client Service Coordinator & Receptionist is responsible for delivering a warm, professional, concierge-level experience to clients while supporting advisors and operations through meeting coordination, client service, scheduling, documentation, and administrative support.
Key Responsibilities
Client Service & Front Office
Serve as the first point of contact for clients, visitors, and callers.
Deliver a welcoming and professional client experience.
Respond to client inquiries and service requests promptly.
Scheduling & Administrative Support
Manage advisor calendars and coordinate client meetings.
Prepare meeting materials and assist with follow-up tasks.
Support advisors with administrative and operational activities.
CRM & Documentation
Maintain accurate CRM records, notes, and workflows.
Prepare client correspondence and service forms.
Assist with compliance and recordkeeping requirements.
Team & Operational Support
Assist with client events and firm initiatives.
Coordinate vendor and office-related needs.
Support process improvements and operational efficiency.

Accurate scheduling, documentation, and follow-through.
Reduced administrative burden for advisors.

Qualifications
Required
3+ years of experience supporting clients in financial services or wealth management environments.
Proficient in Microsoft Office.
Self-motivated and proactive, with strong problem-solving skills and the ability to manage time and multiple priorities effectively.
Reliable, punctual, and consistent in follow-through.
Team-first mindset with a commitment to delivering a concierge-level client experience.
Creative in solving problems and improving processes.
Eligible to work in the United States.
Preferred
Experience with Junxure, Advisor Engine, Wealthbox, Advyzon, or Toolkit CRM systems.
Experience with Egnyte for document management and Calendly for scheduling.
Proficient in Copilot, Gamma, EdrawMind, and Kofax PDF.
Available for occasional overtime on rare occasions.
Compensation & Benefits
Competitive Salary + Incentive Compensation
This exempt position offers a competitive base salary along with a performance-based bonus program that rewards both individual contributions and overall firm profitability.

Eligible on the 1st day of the month following 30 days of employment.

Work Environment
Regular office hours: 8:00 a.m. to 4:30 p.m.
While extended hours, occasional weekends, and travel are generally limited, they may be required to support client and business needs.
