9:00AM-6:00PM with flexibility as neededCOMPENSATION: $80-100K DOE plus discretionary bonus and benefitsBACHELOR'S DEGREE: Required Our client is a Greenwich-based hedge fund seeking a Personal/Administrative Assistant to work as Second Assistant to support a current EA. This role will assist with planning, organizing, and executing a wide range of executive, personal, and family-related tasks. This position requires access to a vehicle and a current Driver’s License.
RESPONSIBILITIES:
-Ability to work independently and as part of a team to plan, organize, and execute all manner of personal and executive assistant functions-Serve as backup for Greenwich office receptionist when they are out, covering lunch delivery, attendance tracking & conference rooms-Assist with coordinating domestic and international travel including car services, hotel arrangements, dinner reservations, activities, visas and flights-Calendar management via Outlook/Excel/Google Sheets including internal/external meetings, conferences, travel, dinner reservations and personal appointments including for family/children-Assist with a variety of household tasks and frequently run personal errands including gift purchases, returns, car maintenance, and household shopping as needed-Create and update detailed excel spreadsheets for tracking of contacts lists, birthdays, holiday card mailing lists, household service providers, car maintenance, etc.-Phone management and interaction with internal/external business associates and family-Liaise with office and household staff to make sure all needs are met seamlessly-Monitor and organize to-do lists, deadlines, etc. and regularly send updates and reminders to the current Personal/Executive Assistant, the partners and their families as needed-Assist with business tasks and assisting with ad-hoc projects-Maintain discretion and confidentiality in all matters while meeting deadlines & maintaining accuracy & detailREQUIREMENTS-Exceptional judgment, written and verbal skills-Demonstrated success & significant experience with Google Suite and Microsoft Office Suite-Valid Driver’s license and clean driving record-Ability to establish priorities, maintain a variety of projects and activities simultaneously and to complete work in a thorough, accurate and timely manner-Ability to adapt to an ever-changing work environment by managing competing demands; ability to deal with frequent changes, delays or unexpected events-Flexibility to travel around Connecticut/Manhattan as needed and work out of executive’s personal residences or corporate office-Confidence, assertiveness and strong interpersonal skills
