Job DescriptionThe Admin - Heri Logistics position provides essential back office support for the logistics function in a defined area. Key responsibilities include processing hauler freight bills, supporting business transactions (including ticketing), conducting research for ARSS, Order Fulfillment, and SSC, coordinating payables with Payment Services, assisting with logistics reporting, and performing other administrative and month end duties. The role requires strong organizational, communication, and math skills, with a focus on attention to detail, customer service, and working effectively in a fast-paced environment. Acts as lead to other logistics administrators.Essential FunctionsProcesses hauler freight bills on a daily basis for payment. Ensures haul rates and trucks are accurately tracked (verifying standby), reported, and paid.Supports Logistics Manager in processing business transactions (including keying ticketing information into Apex).Supports ARSS, Order Fulfillment, and SSC with ticket, invoice, and freight bill (including hauler pay) research, as needed. This includes coordination of credit/rebill and changed ticket transactions.Coordinates with Payment Services in processing payables (business expenses) associated with logistics operations.Assists in the development, preparation, and distribution of logistics reporting as requested.Performs other administrative and month-end duties, as assigned.Other duties as assigned.Critical CompetenciesCommunication - Communicates clearly and effectively, both verbally and in writing, while actively listening and adapting the message to the audience.Teamwork and Collaboration - Ability to work effectively and harmoniously with others to achieve common goals; contributes positively to group efforts, sharing knowledge, and being open to others' ideas and feedback.Planning and Organizing: Identifies and defines clear short-term goals and/or work outcomes that are required to implement strategic goals.Interpersonal Savvy - Engages openly and comfortably with diverse groups, demonstrating tact, sensitivity, and consideration to ease interpersonal situations. Some college preferred.ExperienceMinimum of five (5) years of administrative support experience in an office/professional environment is required.A background with experience in dispatching, customer relations, logistics, and construction/transportation is preferred.Knowledge, Skills, and AbilitiesIntermediate experience and knowledge of the Suite of Microsoft Office programs, including Word and Excel, and the ability to learn and use other software and office equipment as needed to perform job requirements. Skilled in various software applications to record information and create reports.Strong written and verbal communication and interpersonal skills for effectively dealing with all levels within the organization, as well as customers and haulers.Strong attention to detail and customer service skills.Good organizational skills and the ability to multitask.Strong math skills to ensure the accuracy of calculations of payments.Ability to recall detailed information, and communicate effectively with customers as well as haulers.Understanding of trucking logistics.Excellent interpersonal skills with the ability to effectively interact with all levels of the organization.Work in a stressful, fast-paced, deadline-oriented environment that requires thinking and acting quickly and creatively to resolve problems.Work under general direction and meet deadlines.Personal and professional integrity.Able to establish credibility.Insightful and possessing basic business judgment.Ability to constructively confront delicate issues.Other RequirementsMust be able to sit for long periods of time.Able to use common office tools and technology such as cell/office telephone, calculator, computer, and other electronic devices.Hourly Range. The base hourly range for this role is between $26.00 - $28.00 per hour. This range is not inclusive of our discretionary bonus or equity package.
