Records Management & Administrative Services Coordinator
Location: Tampa, FL (On-Site, 5 Days per Week)
Schedule: Monday-Friday, 7:00 AM - 3:00 PM
Contract Length: 12 Months
Pay Rate: Up to $30/Hour
Position Overview:
We are seeking a detail-oriented and customer-focused professional to support Records Management, Administrative Services, and Courier Operations within a corporate environment. This role combines records administration, customer support, training, compliance, and courier responsibilities while working closely with a small, collaborative team. The position reports to the Midtown Tampa office each morning and afternoon, with the majority of work performed at the Records Center. Occasional travel throughout the local service territory is required to support mail, courier, and records-related activities using a company vehicle.
Key Responsibilities
Records Management & Compliance:
Maintain electronic and physical records management systems, ensuring accuracy, organization, and compliance with retention policies.
Process records transfers, storage requests, retrieval requests, and destruction activities.
Manage records inventories and update records management databases.
Coordinate retention and disposition schedules with business departments.
Generate destruction notifications and maintain destruction logs and documentation.
Implement quality control procedures for records, electronic images, and metadata.
Ensure proper access controls and security procedures for stored records.
Customer Support & Training:
Serve as a primary point of contact for records management questions and requests.
Provide guidance on records retention policies, procedures, and best practices.
Deliver training to internal users on records management systems and processes.
Troubleshoot records-related issues and assist employees with system usage.
Administrative Services & Reporting:
Track daily records center activities and maintain operational statistics.
Prepare activity reports and maintain documentation related to records operations.
Monitor inventory levels and order supplies as needed.
Maintain a clean, organized, and secure records storage environment.
Courier & Delivery Services:
Perform scheduled delivery and pickup of interoffice mail, records, and other materials.
Transport materials securely using a company-provided vehicle.
Plan efficient delivery routes and maintain accurate delivery records.
Support deliveries throughout the Tampa service area, including Palm River and Lakeland locations.
Represent the department professionally while interacting with internal customers.
Required Qualifications:
Experience in records management, administrative support, document control, office operations, or a related field.
Strong computer skills and ability to learn new business systems and records management tools.
Experience maintaining accurate records and handling confidential information.
Excellent organizational skills and attention to detail.
Strong customer service and communication abilities.
Ability to train and support end users on processes and systems.
Valid driver's license and ability to operate a company vehicle.
Ability to work independently while contributing to a team environment.
Preferred Qualifications:
Experience with records retention schedules and records compliance processes.
Experience using records management or document management systems.
Previous courier, logistics, or mail services experience.
Experience tracking operational metrics and preparing reports.
