Company Description Turning Points Educational Solutions provides comprehensive services for individuals from early childhood through adulthood. At our Willow Glen and Redwood City offices, we offer assessment, ADHD/executive functioning/autism coaching, advocacy, educational therapy and specialized instruction, speech and language services, PC-CARE, college advising, and career counseling. Our team supports learners and their families with personalized, evidence-informed approaches tailored to each person’s needs and goals. We strive to create a collaborative, inclusive environment that empowers clients to navigate school, work, and life more confidently.Role Description The Assistant to Office Manager is a part-time, in-person role. The ideal candidate would be able to work out of both our Willow Glen and Redwood City offices. This role supports daily office operations, including managing incoming calls, scheduling appointments, and providing exceptional customer service. The assistant helps with organizing client files, maintaining office supplies, preparing basic documents and forms, supporting billing or intake processes, etc. Typical tasks include data entry, coordinating communication between team members, handling routine administrative requests, and assisting the Office Manager with projects to improve efficiency and client experience. The role requires consistent attention to detail, reliable follow-through, superior organization and communication skills, and a client-centered approach in a small, collaborative team setting. Strong technology skills are also highly requested.QualificationsStrong administrative and clerical skills, including Administrative Assistance and Clerical Skills for organizing records, managing schedules, and handling office tasks.Professional phone/email etiquette and clear communication skills to interact respectfully and effectively with clients, families, and team members.Experience with Executive Administrative Assistance or similar support roles, demonstrating reliability, discretion, and the ability to prioritize multiple tasks.Comfort with basic technology (e.g., office software, calendars, databases), with willingness to learn new systems.Ability to work on-site in both our Redwood City and Willow Glen (CA) offices.Strong organizational skills, attention to detail, and a proactive approach to problem-solving in a client-focused environment.Previous experience in an educational, counseling, or healthcare setting is beneficial but not required.Required Education:  AA/AS Degree required, BA/BS preferred Required Experience:   Prior medical/educational office experience  Proficient in Microsoft Office/online scheduling Proficient in graphics/technology for marketing materials and tech projects Experience organizing and maintaining filing systems/databases Prioritizing workload so that the most important tasks are accomplished and customers/staff are served well Required Skills: Maintain client confidentiality at all times per HIPPA/FERPA guidelines Knowledgeable, efficient, and even- tempered Able to work in a collaborative and open environment Excellent communication and problem-solving skills High level of time- and project-management skills Must be extremely detail-oriented, well-organized and able to thrive in a deadline-driven environment Ability to work well with supervision or independently  Ability to communicate effectively in English, written and verbal Valid CA Drivers’ License, clean DMV record, and proof of auto insurance Essential Mental/Physical Functions:   Sit for most of the day using a computer and phones Share a small workspace and maintain good order Lift up to 25 lbs. infrequently Work alone or with others  Able to run office errands using personal vehicle Equipment/Software Used: Microsoft Suite/Outlook Microsoft Word/Excel WordPress Facebook/Instagram/LinkedIn Canva Pay/Benefits: $19-24/hour Sick leave 401K matching once eligible
