Job TitleExecutive AssistantJob DescriptionPrimary Duties & Responsibilities:Executive SupportManage the executive's complex calendar, prioritizing competing demands and ensuring alignment with business priorities.Coordinate domestic and international travel arrangements, itineraries, and logistics.Prepare meeting agendas, briefing materials, presentations, and executive correspondence.Screen and prioritize incoming communications, requests, and meeting invitations.Track key action items and follow-through on executive commitments.Leadership Team OperationsSupport the CSLA leadership team, including leaders across Legal, Marketing, Communications, Government Affairs, Strategy and Global Affairs.Coordinate leadership team meetings, offsites, strategic planning sessions, and organizational reviews.Manage meeting logistics, materials preparation, and follow-up actions.Facilitate cross-functional communication and collaboration across the organization.Strategic and Organizational SupportAssist with planning and execution of organizational initiatives and executive priorities.Coordinate internal and external stakeholder meetings and events.Support budget administration, purchase requisitions, expense reporting, and vendor coordination.Maintain confidentiality of highly sensitive business, legal, personnel, and strategic information.Help manage organizational communications and executive engagement activities.Administrative ExcellenceDevelop and maintain efficient administrative processes and systems.Coordinate executive office operations and special projects.Partner with other executive assistants and administrative professionals across the company.Identify opportunities to improve operational efficiency and organizational effectiveness.Education & ExperienceBachelor's degree or equivalent experience.8+ years of executive administrative experience supporting senior executives.Experience supporting C-suite or executive leadership teams in a complex corporate environment.Exceptional organizational, communication, and project management skills.Demonstrated ability to manage highly confidential information with discretion.Advanced proficiency with Microsoft Office, collaboration tools, and executive support technologies.Ability to prioritize multiple competing demands in a fast-paced environment.PreferredExperience supporting leaders in legal, corporate affairs, public affairs, communications, or related functions.Experience working within a public company environment.Experience coordinating global meetings, travel, and executive engagements.Demonstrated ability to operate independently and anticipate executive needs.Key CompetenciesExecutive presence and professionalismSound judgment and discretionStrong relationship-building skillsProactive problem-solvingAttention to detail and operational excellenceAdaptability and resilienceAbility to influence and coordinate across functionsSuccess MeasuresEffective management of executive priorities and time.Seamless execution of leadership team operations.Strong partnership with the Chief Corporate Affairs Officer and CSLA leadership team.High-quality coordination of strategic initiatives, meetings, and events.Consistent demonstration of discretion, judgment, and professionalism.Physical RequirementsAbility to work in a standard office environment and perform administrative duties for extended periods.Prolonged periods of sitting and working on a computer, including frequent use of a keyboard, mouse, and telephone.Ability to communicate effectively in person, by phone, and through virtual meeting platforms.Occasional standing, walking, bending, and reaching to access office equipment, files, and meeting spaces.Ability to lift, carry, and move office materials and supplies weighing up to 15 pounds.Ability to travel occasionally between office locations or attend company meetings and events, as required.Safety RequirementsAll employees are required to follow the site EHS procedures and Coherent Corp.
