This role is responsible for coordinating schedules, assisting customers, managing administrative functions, and supporting field operations to ensure efficient service delivery and high levels of customer satisfaction.The ideal candidate is organized, professional, capable of managing multiple priorities, and comfortable working in a fast-paced environment while supporting both customers and operational teams.Key Duties and ResponsibilitiesSchedule irrigation service appointments, consultations, and field visits for technicians and field crewsCoordinate daily schedules and routing to support operational efficiencyServe as a primary point of contact for customer communication regarding scheduling, service updates, and general inquiriesProvide exceptional customer service while professionally representing the Moon Valley Nurseries brandMaintain accurate customer records, notes, service requests, and scheduling updates within HubSpot or similar platformsAssist with proposal preparation, work orders, invoicing support, and administrative documentationCommunicate with irrigation technicians, foremen, and leadership teams regarding scheduling changes, customer needs, and operational prioritiesMonitor incoming service requests and ensure timely follow-up with customersSupport operational reporting, data entry, and document organizationAssist with maintaining compliance records, permits, and licensing documentation as neededCoordinate internal communication between sales, operations, and irrigation field teamsSupport additional administrative and operational tasks as assignedJob costing and profit and loss assistanceThis is not an exhaustive list of responsibilities. We work collaboratively and new responsibilities may be assigned over time.QualificationsQualifications: Knowledge, Skills & AbilitiesPrevious administrative, scheduling, customer service, or operations support experience preferredExperience in irrigation, landscaping, construction, nursery operations, or related industries is a plusStrong communication and customer service skillsExcellent organizational and time management abilitiesAbility to prioritize multiple tasks in a fast-paced environmentStrong attention to detail and problem-solving skillsComfortable using digital tools such as HubSpot, Microsoft Office, mobile applications, and scheduling softwareBilingual (English/Spanish) is highly preferredAbility to work independently and collaboratively with multiple departmentsValid driver's license preferredEducationHigh school diploma or equivalent required.Physical requirements/Working ConditionsWhile performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds.
