Our client is a growing wealth management organization seeking a Director of Operations & Administration to join its senior leadership team. This is a high-impact opportunity for an experienced wealth management professional who thrives in a fast-paced environment and has a proven track record of building scalable processes, leveraging technology, and leading high-performing teams. The Director will play a critical role in onboarding new clients, optimizing operational workflows, implementing technology solutions, and driving consistency across the organization. This individual will oversee a team of approximately 10–12 professionals located across the United States and will partner closely with senior leadership to support continued growth.
Key Responsibilities: Provide strategic leadership and oversight of the firm's operations and administrative functions. Lead and continuously improve the new client onboarding process, ensuring a seamless and consistent experience. Evaluate existing workflows and identify opportunities to streamline, automate, and improve operational processes. Serve as a key leader in the firm's technology strategy, helping evaluate, implement, and optimize systems and tools. Lead and develop a geographically dispersed team of approximately 10–12 employees across the United States. Establish clear processes, performance expectations, and accountability across the operations team. Partner with advisors, client service teams, and executive leadership to resolve operational challenges and improve the client experience. Create scalable processes that support the firm's continued growth while maintaining a high level of service. Identify opportunities to improve efficiency through technology, automation, documentation, and workflow redesign. Develop and maintain operational procedures, controls, and best practices. Monitor key operational metrics and use data to identify trends, opportunities, and areas requiring improvement. Support organizational change initiatives and ensure successful adoption of new processes and technologies. Serve as a senior resource for complex operational issues and cross-functional initiatives. Bachelor's degree required; advanced degree or relevant professional designation is a plus.7+ years of experience within wealth management, financial services, registered investment advisory (RIA), family office, or a similar environment. Previous experience leading an operations, administration, client service, or business management function. Demonstrated experience leading and developing teams, including geographically dispersed teams. Strong understanding of wealth management operations and the client onboarding lifecycle. Proven ability to streamline processes, improve workflows, and implement scalable solutions. Strong technology aptitude with experience evaluating, implementing, or optimizing technology platforms. Comfortable working in a fast-paced, high-growth environment where priorities can shift quickly. Strong project management and organizational skills with the ability to manage multiple initiatives simultaneously. Excellent communication and relationship-building skills with the ability to work effectively with executive leadership and teams across the organization. A hands-on, solutions-oriented leadership style with a strong focus on accountability and continuous improvement.
