About the role

Administrative CoordinatorThe Administrative Coordinator provides coverage of routine receptionist and administrative functions as the primary front desk contact at the Perot Family Campus on Saturdays. This includes providing support and service to internal and external customers to facilitate volunteer activities.Minimum QualificationsEducation:High School Diploma or GED requiredSpecial Knowledge/Skills/Abilities:Proficient working with Microsoft Office products (Excel, Word, and Outlook)Attention to detail and commitment to accuracyMust possess exceptional interpersonal and verbal communication skillsAbility to work independently, multi-task, and accept direction on given assignmentsAble to work collectively with the on-site staff, as well as the administrative team associatesBilingual (English/Spanish) preferredExperience:6 months of relevant experience and/or training or equivalent combination of education and experiencePrinciple Duties and ResponsibilitiesOpen and close reception/visitor area (lock and unlock doors, turn lights on and off, stock media stand)Maintain security of the building by monitoring those coming in/out of the buildingGreet visitors and volunteers with an open and friendly demeanorProvide necessary guidance, information, proper security badge, and safety vest as appropriateAnswer and direct telephone calls to the appropriate employee or their voicemail when the team member is not availableProvide visitors and callers with information such as the North Texas Food Bank address, directions, phone numbers, fax numbers, website, and other related informationProvide callers or walk-in visitors seeking food assistance with information regarding location of local pantries that provide service to their residence and the process of applying for servicesAccept monetary and food donations, provide receiptsReceive, open, sort, separate and distribute incoming mail to appropriate staff membersCoordinate the pick-up and delivery of express mail servicesAssist with other related clerical and administrative duties such as scanning, photocopying, filing, organizing, faxing, including providing basic administrative and data entry support as neededAssist with coordination of repair and maintenance of office machines and suppliesPerform other tasks and duties as assignedMental DemandsThe person in this position is regularly required to use written, oral, and listening communication skills, analyze and solve problems, learn and apply new skills and information.The person in this position needs to adapt well in the face of workplace stressors such as customer complaints and maintaining the safety of people and property.Physical DemandsWhile performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear.Must regularly lift and/or move up to 15 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move more than 50 lbs.Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.Environmental FactorsModerate noise (i.e. business office with open floor plan with computers, phone, and printers, light traffic).Availability on Saturdays is requiredThe mental and physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
