Role Overview: We are seeking an experienced Senior Client Service Associate (SCSA) to lead client operations and account administration. This critical role acts as the operational engine of our firm, serving as the primary liaison between our advisors, operational teams and our clients. The ideal candidate possesses a deep expertise in custodian platform workflows, extensive hands-on experience completing alternative investment subscription documents, and an understanding of private market valuations and pricing update cycles.
Key Responsibilities: Client Service & Custodial Operations Manage end-to-end daily client account operations across Charles Schwab (Institutional/Advisor Center) and Fidelity (Wealthscape/IWO) platforms. Execute account maintenance requests, including seamless onboarding, new account openings, money movement (wires, ACH, ACAT transfers), DTC transfers and funding Donor Advised Fund accounts. Manage, execute and track RMD distributions. Manage task workflow and action items in Sales Force Serve as the primary operational contact for clients and their accountants, delivering proactive, high-touch resolution for sophisticated service requests. Manage and tracking of year end activity of charitable contributions, gifting and GRAT distributions. Manage 1099 and K-1 tax document delivery to our clients and their respective accountants Alternative Investment Administration & Documentation Oversee the end-to-end subscription process for private equity, venture capital, real estate, hedge funds, and private credit investments. Review, complete, and track Subscription Documents, Operating Agreements, Accredited Investor / Qualified Purchaser verifications, and Power of Attorney forms. Maintain rigorous recordkeeping for client capital commitments, uncalled capital, and private asset documentation. Manage the periodic statement and pricing update process for all alternative and illiquid holdings across client portfolios with our operational teams
Qualifications & Requirements
Experience: 4–7+ years of client service or operational experience within an RIA or multi-family office setting. Custodial Expertise: Strong proficiency in Charles Schwab Institutional (Advisor Center) and Fidelity Institutional (Wealthscape) platforms. Alternative Asset Expertise: Demonstrated experience completing private placement subscription documents (CAIS, iCapital, or direct funds) and managing capital call/distribution workflows is required.
Education: Bachelor’s degree in finance, Business, Economics, or related field.
Skills: High attention to detail, exceptional written/verbal communication, and mastery of CRM software (e.g., Salesforce).
