About the role
Vogelzang Law, a mid-sized plaintiff’s law firm in downtown Chicago, is seeking a Personal Assistant to support our team. With over 20 years of experience in mesothelioma and asbestos litigation, we have the specialized knowledge and resources needed to litigate complicated cases and the compassion to advocate wholeheartedly for our clients. This is a full-time, hybrid position with a competitive salary and comprehensive benefits package. The Personal Assistant will work three days per week in our office in downtown Chicago and will perform two days of remote work per week.
Essential Duties & Responsibilities:
Provide administrative support to the Executive Director and Lead Counsel as needed, including scheduling meetings, managing calendars, and organizing travel. Daily and weekly meetings with executives to review calendars, project updates, personal scheduling, and travel plans, proactively identifying and resolving potential conflicts. Manage incoming correspondence, including emails and phone calls, prioritizing and responding as needed. Supervise the operations of multiple properties (primary, vacation, and rental homes), managing household staff, deliveries, contractors, vendors, and maintenance services. Coordinate and schedule personal appointments such as fitness, medical, wellness, and beauty, along with overseeing family members calendar and travel, acting as primary liaison with schools and extracurricular organizations. Perform financial administration for personal accounts (assisting with bills, insurance policies, tax obligations, credit cards, etc.).Process expense reports for the main company credit card, as well as for the Executive Director and Lead Counsel. Perform other administrative tasks, including office management, as required to support and enhance the firm's operations. Other duties and responsibilities as assigned.
Qualifications:
Bachelor's degree from a four-year college with an excellent academic background. Previous experience as a Personal Assistant, preferably in a legal setting. Experience with Salesforce is preferred, but not required.
