Contracts Administrative AssistantSparks Group has partnered with a mission-driven research organization to identify a detail-oriented Contracts Administrative Assistant to support a busy Contracts Management team. This remote role is ideal for an organized administrative professional who thrives in a high-volume environment and enjoys managing documentation, coordinating communications, and keeping critical contract processes on track. The ideal candidate is proactive, adaptable, and comfortable supporting a collaborative team while handling multiple priorities with accuracy and professionalism.ResponsibilitiesManage high-volume DocuSign signature routing, ensuring contract documents are distributed, tracked, and completed accurately and on time.Monitor and triage a high volume of emails, responding appropriately or routing communications to internal and external stakeholders.Maintain and organize electronic contract files, ensuring documentation is accurate, complete, and easily accessible.Support contract lifecycle administration by tracking documents, maintaining filing systems, and assisting with document curation.Coordinate meetings and provide administrative support through Microsoft Teams and Zoom.Assist with purchase order documentation and communicate with accounting teams regarding contract-related administrative processes.Utilize Microsoft Office, SharePoint, Smartsheet, and other collaboration tools to manage projects, reports, and departmental documentation.Support the Contracts Management team with special projects and additional administrative responsibilities as business needs evolve.Help improve administrative workflows while maintaining accuracy, organization, and confidentiality.Collaborate with cross-functional teams to ensure contract documentation and communications are completed efficiently.Qualifications/Background Profile2+ years of administrative support experience, preferably supporting contracts, procurement, legal, research, or compliance teams.Demonstrated experience managing high-volume documentation and email communications.Proficiency with DocuSign is required.Strong working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.Experience using SharePoint and Smartsheet; familiarity with project management platforms such as Monday.com is a plus.Experience maintaining electronic filing systems and organizing large volumes of confidential documents.Familiarity with contract lifecycle management systems or document management platforms is preferred.Understanding of purchase order processes and experience interacting with finance or accounting departments is a plus.Excellent written and verbal communication skills with exceptional attention to detail.Ability to work independently in a remote environment while collaborating effectively with a close-knit team.Experience supporting organizations within scientific research, biopharmaceutical, healthcare, nonprofit, government contracting, or legal environments is preferred.This job is Fully Remote. Pay Range: Hourly $32.00 to $32.50.
