About the role
Capital Digestive Care – Executive Assistant Full-Time | Rockville, Maryland Capital Digestive Care (CDC), a leading gastroenterology physician practice, has an exciting opportunity for a full-time Executive Assistant to join our corporate team. The Executive Assistant will play an integral role in supporting the leadership of Capital Digestive Care, with primary responsibility for providing high-level administrative and operational support to the General Counsel and Chief Compliance Officer, as well as supporting other members of the executive leadership team as needed. This position requires exceptional organization, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment. The ideal candidate will possess strong business acumen, excellent communication skills, and the ability to work effectively with executives, physicians, employees, outside counsel, vendors, and other business partners. Work Location & Schedule This is a hybrid position based in the Washington, DC/Maryland metropolitan area. Candidates must reside within reasonable commuting distance of Capital Digestive Care's corporate office in Rockville, Maryland, and be available to work onsite as business needs require. The position offers flexibility for remote work while requiring regular in-person availability to support the General Counsel, Chief Compliance Officer, executive leadership team, meetings, and other corporate office activities. Periodic evening availability may also be required. What You'll Be Working On• Provide high-level administrative and operational support primarily to the General Counsel and Chief Compliance Officer, with additional support to other members of the executive leadership team as needed.• Manage complex executive calendars, schedule meetings and appointments, coordinate priorities, and proactively resolve scheduling conflicts.• Coordinate and facilitate internal and external meetings, including scheduling, preparing materials, organizing agendas, sending reminders, and coordinating logistics such as catering, travel, and accommodations when necessary.• Assist the General Counsel and Chief Compliance Officer with the organization, coordination, and tracking of legal, regulatory, compliance, and corporate matters.• Support contract management activities, including maintaining the organization's contract repository and tracking key terms, renewals, expirations, notice periods, deliverables, and other critical deadlines.• Assist with coordinating the contract review and approval process among internal stakeholders, legal counsel, vendors, and other parties as appropriate.• Maintain organized and confidential legal, compliance, contract, and corporate records and documentation.• Assist with healthcare compliance-related administrative activities, including tracking initiatives, deadlines, documentation, meetings, and follow-up items.• Support projects and initiatives by coordinating and tracking timelines, milestones, deliverables, and status updates and escalating issues as appropriate.• Proactively ensure relevant stakeholders remain informed and aligned through effective communication, documentation, and follow-up.• Work closely with key business stakeholders across the organization to identify opportunities to improve administrative processes and operational efficiency.• Prepare, organize, proofread, and maintain correspondence, presentations, reports, meeting materials, and other executive-level documentation.• Handle sensitive and confidential information with a high degree of discretion and professionalism.• Organize and maintain the corporate office, including coordinating office supplies, mail, deliveries, and other general office needs.• Assist with special projects and provide administrative support to other members of the executive leadership team as business needs require.
What You'll Bring:
• A successful applicant must be legally authorized to work in the United States without sponsorship.• Bachelor's degree preferred but not required.• Minimum of 3 years of experience in an executive support, legal support, compliance, healthcare administration, project coordination, or similar professional role preferred.• Experience working in a healthcare environment strongly preferred.• Experience with contract administration or contract management preferred.• Healthcare compliance experience preferred but not required.• Paralegal or legal administrative experience preferred but not required.• Strong organizational, project management, and time-management skills.• Exceptional attention to detail and the ability to manage multiple competing priorities and deadlines.• Ability to exercise sound judgment and maintain confidentiality when handling sensitive legal, compliance, personnel, and business information.• Strong written and verbal communication skills and the ability to communicate professionally with executives, physicians, attorneys, employees, vendors, and external business partners.• Strong proficiency with Microsoft Office, including Outlook, Word, Excel, Power Point, and Teams.• Ability to work independently, anticipate needs, take initiative, and collaborate effectively within a team environment.• Professional, adaptable, resourceful, and comfortable working in a fast-paced and evolving organization.
